This role provides essential support to TKE’s business operations by preparing, reviewing, and processing contractual documentation for New Installation and Modernization projects across the U.S. Business Unit. Working within the Shared Service Center, this position ensures accuracy, compliance, and efficiency throughout the contract lifecycle, serving as a critical link between sales, operations, and management teams. (At this time, we are conducting networking conversations for anticipated future openings.)

Responsibilities

Contract Management:

Review and prepare contract documentation for execution, including data entry and validation in Oracle, View, and M-Files systems. Ensure accuracy of contract terms, pricing, customer information, and project details prior to booking.

Documentation & Compliance:

Read and interpret contractual requirements to determine retainage, PPE, and payment terms. Maintain organized records in Oracle overlays and Excel spreadsheets to document booking activity and project history.

Systems & Data Accuracy:

Manage customer setup and contract data across multiple systems (Oracle, View, M-Files, Appian), ensuring accuracy, timeliness, and compliance with established service level agreements (SLAs). Enter master data and revenue projections to support financial forecasting and reporting.

Collaboration & Communication:

Coordinate approvals in accordance with company policy and the approval matrix, partnering with Sales, Branch, and Manufacturing leadership as needed. Provide timely communication to management regarding booking progress and contract status.

Reporting & Analysis:

Prepare monthly booking reports for senior leadership. Support audits and assist in maintaining compliance with Contractor Controlled Insurance Program (CCIP) requirements for the U.S. Business Unit.

Customer Service:

Establish and maintain professional rapport with both internal and external customers through timely, accurate, and proactive communication. Respond promptly to email and phone inquiries to ensure efficient contract processing.

Process Improvement:

Identify and recommend opportunities to streamline booking and documentation processes, improve data quality, and enhance system utilization across the Shared Service Center.
