Overview
Our client, a stealth startup in the machine learning space, seeks a razor‑sharp Executive Assistant to support two senior executives in their SF office. The ideal candidate will be proactively engaged in all day‑to‑day executive administrative responsibilities, while bringing their scrappiness and resourceful nature to the role. Must have experience supporting executives at a tech start‑up and/or venture capital firm.
Key Responsibilities
Strategically manage executives' complex calendars, arrange meetings, and schedule appointments
Maximize and prioritize executives' time and schedule
Plan firm meetings and events and act as day‑of point person
Compose briefing materials, presentations, and meeting agendas
Handle incoming and outgoing email communications with discretion, confidentiality, and urgency
Coordinate domestic and international travel
Document meeting minutes for internal and external meetings
Process expense reports and invoices
Proofread and edit reports, memos, and correspondences
Cohesively collaborate with other administrative staff and EAs
Assist with various administrative tasks and projects, as needed
Essential Qualifications
5+ years of experience as an Executive Assistant at a tech startup and/or VC firm
Strategic mindset and experience assisting with project management
Proactive and resourceful nature
Ability to manage a wide variety of tasks with competing priorities
Ability to see a project or task through from start to finish – crossing every t and dotting every i!
Polished and professional communication style
Nice to have
