This job is based in our office in Orlando, Florida. Applicants must either live in the area or be willing to move to Central Florida and work from the office daily.

The Production Coordinator will work with the design team workstreams to help facilitate the design team projects for internal and external clients. They are responsible for coordinating the deliverables, updating progress and facilitating the flow of information to design & production team members. They also have the opportunity to assist in production efforts that include presentation building, editing, and proofing various deliverables as they are prepared. This position involves coordinating with a multidisciplinary team to track the different work streams and document information as well as supporting document control and file/asset organization. They directly support their assigned workstream lead which may vary project by project. The production coordinator collaborates closely with the creative and production teams to ensure the seamless integration of design intent and technical trades to contribute to the successful execution of projects.

Essential Functions:

Internal and External Coordination

Fosters strong working relationships with creative directors, designers, and artists. Prepares team invitations, agendas, and meeting documentation per workstream. Coordinates across internal and external teams to ensure smooth information flow and timely access to resources. Identifies workflow inefficiencies and escalate to Project Management for resolution.

Deliverable tracking and organization

Supports execution and timely submission of deliverables across all project phases.

Ensures production outputs meet contractual requirements and flag issues early. Flex work hours as needed to manage and package deliverables during peak periods. Schedules and leads Bluebeam 'Page Turn' meetings to review cross-discipline drawings and track session progress. Documentation

Takes and distributes meeting notes, minutes, and action items. Organizes and shares project assets to maintain clear communication. Compiles deliverables into presentation decks (e.g., PowerPoint). Reviews and quality controls deliverables for completeness against scope of work. Drives design momentum by managing schedules, deliverable documents, and final submission content.

Communication and Scheduling

Facilitates efficient, focused design meetings and cross-team communication. Documents and shares meeting outcomes and promptly distribute action items. Follows up on open items to ensure timely completion. Ensures compliance with client communication standards and protocols.

Job Qualifications and Requirements:

Ability to coordinate with internal and external teams to ensure that information passes smoothly from different disciplines and teams as well as ensuring that all teams are equipped with the information that they need to complete their work per the schedule. Deep knowledge of common software packages including Word, Excel, and PowerPoint. Experience with project management tools such as Smartsheet or ACC, Bluebeam, Adobe Photoshop, and/or Adobe InDesign is preferred Responsible for cross-discipline communication of information and creating team meetings that are organized, efficient, and concise. Candidate must be a problem solver and team player and very organized, self-motivated, pro-active, and communicative. Must possess a valid driver's license. Must be authorized to work lawfully in the United States of America. This at-will, in-office position is being hired to support a specific client project. While this role is a full-time position with Falcon's Creative Group, employment will not extend beyond the duration of the project. The assignment will conclude once the project is completed, at which time employment with Falcon's Creative Group will end. The expected project timeline is to be determined. For avoidance of doubt, employment with Falcon's would be at-will at all times, meaning that the employee or Falcon's may terminate the employment at any time (including prior to the conclusion of the project).
