Location: Grand Rapids, MI (office).
Position
Administrative Assistant
Responsibilities
- Manage and maintain executive schedules, including making appointments and meetings with internal and external individuals, prioritizing the most sensitive matters
- Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive's behalf
- Perform data analysis and use Microsoft applications (Excel, Outlook, Word, Access) for data filtering, sorting, V-lookup, PivotTables, and related tasks
- Prepare requested reports and presentations; collect and analyze necessary information
- Record meeting discussions and provide minutes as requested
- Maintain inventory of executive office supplies; anticipate office needs and ensure stock
- Create and maintain paper and electronic copies of state-related documentation, certification and licensing
- Coordinate and schedule travel arrangements and conferences; prepare itineraries
- Organize and prepare employee and external gifts (catering, floral arrangements, cards, appreciation gifts)
- Screen incoming calls, inquiries, visitors, and correspondence, and route appropriately
- Manage complex office administrative work requiring independent judgment and initiative
Qualifications
- High School Diploma or GED
- 1 year experience in an administrative assistant setting
- Current and valid Driver's License
- Reliable transportation and valid automobile insurance
- Interpersonal skills and ability to communicate effectively with employees
- Problem-solving, organizational skills and attention to detail
- Strong verbal and written communication skills
- Proficient with computer equipment; Excel, Outlook, Word; ability to manage multiple phone lines, fax, and photocopy machines
Desired Qualifications
- Associate Degree preferred

Hours
- Office Hours: 8:00 am – 5:00 pm, Monday through Friday
Pay Range
$18—$22 USD
