Our San Jose office is seeking a skilled Litigation Secretary to provide high-level administrative and litigation support to attorneys in our Employment Law practice group.
Position Overview
The Litigation Secretary will support a busy team of employment litigators handling single-plaintiff and class action matters. This role requires excellent organizational skills, strong attention to detail, and the ability to manage multiple deadlines in a fast-paced environment. After an initial 90-day in-office training period, this position transitions to a hybrid schedule (2 days onsite, 3 remote).
Key Responsibilities
- Prepare, revise, and format legal documents, including pleadings, discovery responses, subpoenas, and correspondence.
- File and serve documents in state and federal courts (electronic and manual filings).
- Maintain case calendars, track deadlines, and coordinate court appearances.
- Manage attorney time entries, expense reports, and billing processes.
- Coordinate depositions, meetings, travel arrangements, and client communications.
- Assist with document production, eDiscovery coordination, and trial preparation.
- Maintain confidentiality and handle sensitive information with discretion.
Qualifications
- 5+ years of litigation secretary experience in a law firm environment; employment law experience strongly preferred.
- Proficiency in MS Office Suite, iManage or similar DMS, and electronic court filing systems (state & federal).
- Strong knowledge of California and federal court rules and procedures.
- Exceptional attention to detail, grammar, and proofreading skills.
- Ability to prioritize and manage multiple assignments under tight deadlines.
- Professional demeanor and excellent communication skills.
- Base salary: $110,000+ (commensurate with experience)
