An international law firm is seeking a Legal Secretary to provide high-level administrative support to attorneys and legal teams. The Legal Secretary plays a critical role in ensuring the smooth daily operations of assigned practices by managing communications, scheduling, client matter workflows, and billing support. This role requires a proactive professional with exceptional organizational skills, strong attention to detail, and the ability to deliver superior client service.
Responsibilities
- Provide direct administrative support to assigned attorneys, ensuring efficient management of daily operations.
- Manage attorney calendars, coordinate meetings and travel arrangements, and prepare related materials in advance.
- Draft, edit, and format correspondence, documents, reports, and presentations with accuracy and attention to detail.
- Maintain organized electronic filing systems in accordance with firm policies and records management practices.
- Assist with client matter management, including new client/matter intake, conflicts coordination, engagement letters, and matter closing processes.
- Support billing processes by preparing invoices, tracking budgets, and ensuring compliance with client requirements.
- Serve as a professional liaison with clients, courts, agencies, and external organizations, maintaining confidentiality at all times.
- Track and support attorney business development initiatives, including research, presentation preparation, and event coordination.
- Collaborate with other Legal Secretaries to balance workload and provide backup assistance as needed.
- Assist with onboarding and training new legal and support staff.
Qualifications
- Minimum of 2 years’ administrative experience; prior experience in a law firm or professional services environment strongly preferred.
- Strong oral and written communication skills, with excellent command of business English, grammar, and formatting.
- Proficiency in Microsoft Office Suite; ability to learn and effectively use firm technology systems.
- Highly organized, with the ability to manage multiple priorities and meet tight deadlines.
- Strong interpersonal skills, with the ability to work effectively across all levels of the organization.
