Full-Time Onsite About the Firm: We are an established law firm recognized for delivering exceptional legal services and maintaining a collaborative, professional workplace. We are seeking a versatile Legal Billing & Office Manager to oversee the firm’s financial operations, billing processes, and general administrative management. This position plays a key role in ensuring accuracy, organization, and efficiency across all aspects of the firm’s business operations. Position Summary: The Legal Billing Specialist & Office Manager is responsible for managing the firm’s billing cycle, handling accounts receivable (AR) and accounts payable (AP), overseeing

payroll , and maintaining accurate financial records. This role also serves as the primary point of contact for administrative and operational matters, coordinating with attorneys, staff, and vendors to support the firm’s daily functions. Key Responsibilities: Billing & Financial Management Prepare, review, and issue client invoices using Clio and Tabs billing software. Monitor and manage AR/AP functions, including payment posting and vendor invoicing. Track attorney and staff timekeeping to ensure timely and accurate billing. Reconcile trust and operating accounts; maintain compliance with firm and regulatory standards. Maintain and update financial reports, budgets, and forecasts in Excel. Assist with general bookkeeping and financial recordkeeping. Payroll & HR Administration Process and record payroll for attorneys and staff, ensuring accuracy and confidentiality. Maintain employee records, benefits tracking, and time-off reporting. Support onboarding, scheduling, and general HR documentation. Office Management Oversee day-to-day office operations. Serve as the liaison between firm leadership, staff, and external service providers. Ensure compliance with firm policies and procedures. Support technology, equipment, and facilities management to maintain a professional work environment. Qualifications: Experience in legal billing (preferred), accounting, or office management within a law firm or professional services environment. Proficiency with Clio and/or Tabs billing software preferred but will train. Strong understanding of AR/AP, timekeeping, and payroll processes. Proficiency in Microsoft Excel. Experience as a bookkeeper or working closely with accounting functions. Excellent organizational, multitasking, and communication skills. Discretion and professionalism when handling confidential financial and personnel information.
