Summary Description of Job
The Manager of Conferences will support the ACI-NA Conference Department, ensuring all facets of event management run smoothly by providing exceptional logistical and planning support to these programs. The Manager is a skilled professional with a vision for event planning and execution, responsible for the planning and execution of key public-facing ACI-NA conferences. They focus on event strategy, logistics, attendee experience and collaborative planning and execution, including ACI-NA’s Annual Conference & Exhibition. The association holds 20+ multi-day conferences each year, both in the U.S. and Canada.

Function of the Position:
Under the guidance of the Conferences Team, will assist the department with the collaborative design and implementation of the event experience for ACI-NA conferences. Duties will include co-leading the planning and direction of a minimum of 6 conferences annually and supporting the department with other events. This includes site visits, budget management, monitoring and performance of the event, event logistics, food & beverage, registration, AV needs, and special events.
Job Duties:
Meeting and Event Management & Planning:
Oversees scheduling, coordination, and execution for selected events in support of the mission of the ACI-NA and ensures a successful liaison with external vendors. In conjunction with the registrar, leads registration and set up efforts, food & beverage selections, monitors housing, and determines audiovisual needs. Budget Management and Reporting:
Manages budgets and reporting processes for events for accurate revenue and expense reporting and forecasting. Oversees and directs the details of pre and post-meeting financial reporting. Customer/Member Service:
Provides an efficient and effective customer service response method for all inquiries regarding ACI-NA meetings and events. ACI-NA Annual Conference:
Works collaboratively with the Conferences Team to ensure smooth implementation and planning of selected logistical needs, potentially including but not limited to housing, registration, transportation, vendor management, and special events for the Annual Conference. Strategic Initiatives:
Supports the development and implementation of a long-term strategic plan for ACI-NA events. Specific focus on operational improvement solutions that support revenue growth goals, attendee experience, and alignment with ACI-NA’s strategic initiatives. Education and Experience Required Requires 2-4 years of professional experience. Years of progressively responsible positions in association meetings, conferences, and events is desirable, but not required. Bachelor’s degree in business, communications, or hospitality/event management, or a combination of education and experience in an association environment or the hospitality industry is preferred. Requires outstanding relationship and communication skills and customer service focus. Self-motivated, detail-oriented, and strategic with proven skills in team problem-solving. Makes good judgments and quick decisions that balance many needs and goals. Successful candidates will have a true commitment to collaboration and a positive approach to handling all level problem-solving event-related issues. Ability to improve business processes resulting in increased efficiency and productivity. Has experience working with and managing vendors and has project management skills. Proficiency with Microsoft Office. Expertise and awareness of numerous event technologies are vital to this role. Knowledge of iMIS or other CRM and email broadcasting software is a plus. Key Competencies/ Knowledge, Skills & Abilities Exceptional organizational and logical skills and ability to plan, track, and perform multiple tasks; must be able to manage multiple priorities and maintain a high attention to detail and accuracy while consistently meeting deadlines. Creative and innovative thinker with strong attention to detail. Ability to quickly recognize or anticipate problem areas and quickly develop solutions Demonstrated ability to adapt, implement, manage change, and strive for continuous improvement. Strong and proficient skills with Microsoft Office tools such as Excel, Word, and PowerPoint Computer proficiency and adept at learning new software Ability to thrive in high-pressure situations. Ability to travel approximately 15-20% for work. Hybrid Work: ACI-NA operates in a hybrid work model and staff works remotely 2-3 days per week, with additional days in the office required for meeting prep, shipping, packing, and unpacking.
