Hart Mechanical Contractors is seeking a highly organized and professional Front Office Administrator to join our team. As the first point of contact for clients and visitors, you will represent the company with professionalism, warmth, and efficiency.

SUMMARY: The Front Office Administrator
is primarily responsible for running our front reception area; greeting, assisting, and providing direction and information to clients, visitors, and other guests, as well as managing all incoming calls. The position will also support all front office administrative needs, including data entry, mail delivery, office supplies, and meeting coordination.
WHAT YOU’LL DO:
Welcome and assist clients, vendors, and visitors, creating a positive first impression.
Manage a multi-line phone system — route calls promptly and take accurate messages.
Perform data entry and maintain well‑organized filing systems.
Support scheduling, calendar management, and meeting coordination.
Provide outstanding customer service by addressing inquiries and resolving issues efficiently.
Maintain office supplies, order replacements, and ensure equipment is functioning properly.
Proofread correspondence and documents for accuracy and professionalism.
Collaborate with team members on administrative and project‑related tasks.
Transmit information or documents to customers using computer (e‑mail) or mail.
Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
WHAT WE’RE LOOKING FOR:
High school diploma or general education degree (GED), or prior related experience and/or training, or equivalent combination of education and experience.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Strong computer literacy with experience in data entry and clerical support.
Excellent organization, time management, and communication skills.
Bilingual abilities are a plus for communicating with diverse clientele.
Demonstrated customer service experience, ideally in a front desk or receptionist role.
Familiarity with multi‑line phone systems and professional phone etiquette.
Prior experience in a dental, medical, or construction office environment is advantageous but not required.
Accurate typing, keying and documentation skills.
Previous administrative or personal assistant experience preferred.
WORK LOCATION REQUIREMENTS:
This position requires full‑time, on‑site presence at our Miami, FL (33186) offices.
The standard schedule is Monday - Friday.
WORK AUTHORIZATION REQUIREMENTS:
Applicants must be legally authorized to work in the United States at the time of application.
