The Department of Budget and Fiscal Services, Real Property Assessment Division, in various locations in Honolulu. The Office Assistant job series is a starting point for many specialized support positions within the City. Opportunities for career growth will depend on the specific Office Assistant positions within the individual City departments. General Job Responsibilities
Evaluates and processes documents according to individual circumstances where the correct course of action is not clearly defined. Performs extensive searches through a variety of paper and electronic files and records, extracts, refines, and organizes necessary information and prepares reports. Summarizes materials and prepares reports requiring the interpretation and analysis of data and judgement as to format and details of presentation. Evaluates various office processes and determines which may be performed more efficiently; sets up databases, templates, procedures, etc. May supervise, provide training and guidance to, and assign, review and evaluate the work of clerical subordinates. Creates, edits, prints, stores, retrieves and deletes documents using a computer, word processing and other software, in draft or final form, from rough or corrected copy where formal and arrangements are not clearly indicated. Prepares, reviews and processes forms, records, reports, applications and other documents for accuracy, completion and conformance to established requirements. Composes routine correspondence and letters of acknowledgement. Provides general information and resolves complaints in person or over the telephone involving explanation of rules, regulations, policies and procedures and knowledge of the agency’s purpose and functions. Assists the public in filing out standard and supplementary forms. Sets up and maintains a variety of files and records and revises filing system as necessary. Answers the telephone and takes and/or relays messages to the proper person or office. Performs other duties and responsibilities as assigned for the position. Special Work Requirements
Work schedule is typically Monday to Friday from 7:45 a.m. to 4:30 p.m., but may vary depending on the specific departmental vacancy. May need to work after hours, weekends and/or holidays as needed depending on operational needs. There may be other special work requirements depending on the specific departmental vacancy. Ability to interpret relevant laws and policies. Ability to follow written and oral instructions. Ability to communicate tactfully with others. Substitution: Business school or college-level credits from an accredited college or university will substitute for experience on a month-for-month basis for the required clerical experience.
