Position Summary We are seeking a proactive, detail-oriented, organized Controller to join our leadership team in a fully onsite capacity. This role is ideal for someone who thrives in a collaborative, fast paced environment while maintaining accuracy and demonstrating an adaptable mindset. The Controller will manage all facets of the company’s financial operations including accounting, compliance, reporting, payroll, tax filings, and more, while working closely with the CEO/Owner to maintain financial health and drive operational efficiency. Additionally, the Controller will collaborate with various departments to align financial strategies with overall company goals and objectives. This role will be responsible for the financial and accounting functions of (3) companies (Montage, Simpolicy, and Legacy Heir).

Essential Functions

Establish and maintain systems and controls that verify the integrity of all accounting systems, processes, and data to enhance the company’s value

Handle all Accounting Department functions to ensure the accurate and timely production of financial reports, including monthly internal and external statements, annual audits, and budgets. Includes:

Running monthly and year-to-date profit and loss reports and balance sheets on Montage, Simpolicy, and Legacy Heir building which is a separate LLC.

Maintaining key indicators and monthly financial graphs

Capturing and recording all expenses in the cash flow sheet for Montage, Simpolicy, and Legacy Heir LLC

Work with the CEO on forecasting, variance reports, and company fiscal year budgets

Create client cost reports such as monthly client expenses and company profitability reports comparing client revenue versus expenses

Accounts Payable and Accounts Receivable

Pay and manage vendors and review billing inquiries

Manage Property & Casualty billing, merchant account billing and administration

Prepare and file 1099s in compliance with IRS reporting

Oversee the tracking of all commission spreadsheets to ensure that the company receives commissions correctly and on time, and that commissioned employees are paid accurately and promptly. Generate commission reports as needed.

Track new business metrics to assess growth, working closely with Employee Benefit account managers and the P&C department to capture all new business

Manage the company American Express accounts

Oversee the tracking of receipts and expenses, and reconciliation of monthly statements in QuickBooks

Provide financial documents to the CPA at the direction of the CEO, including city taxes, property taxes, and federal and state tax filings (quarterly and annually).

Handle and oversee payroll processes for all employees of Montage, ensuring accuracy and compliance with applicable laws:

Manage semi-monthly payroll processing, including timesheet calculations and reviews using the Paylocity payroll system

Conduct quarterly tax report reviews and administer W-2 forms

Prepare semi-monthly journal entries to record payroll transactions

Manage employee contributions to 401(k), HSA, and FSA plans

Distribute petty cash as needed, and maintain accurate petty cash logs

Prepare, review, and file quarterly Board of Equalization sales and use tax returns

Lead month-end close procedures and financial statement preparation for Montage, Simpolicy, and Legacy Heir LLC

Manage individual and agency license renewals

Prepare and file County of Los Angeles property tax filings and coordinate IRS and Franchise Tax Board (FTB) tax return process for the businesses

Manage trademark filings and renewals

Oversee Clients COBRA payments recording and reconciliation

Complete workers’ compensation annual audit reports

Required Skills and Abilities

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field; a Master’s degree or CPA certification is a plus

6+ years of experience in a financial management role, preferably within the insurance or financial services industry

Strong knowledge of financial reporting, budgeting, forecasting, and analysis

Highly professional, responsible, and analytical with ability to problem-solve while maintaining a heart to serve and a commitment to accuracy and organization

Advanced proficiency in QuickBooks, Paylocity and Excel including generating complex reports and data analysis

Excellent mathematical acumen, organizational, and time-management skills, with the ability to manage multiple priorities and deadlines effectively

Exceptional communication and interpersonal skills, with ability to collaborate effectively with diverse teams and family operations.
