The Role The Accounting Administrator owns WM Events’ day‑to‑day bookkeeping and is the primary partner to Sales on event reconciliations and commissions. You’ll collaborate with our Executive Administrator, Director of Sales, Director of Business Development, Fractional Controller, and CPA to keep books clean, documents complete, commissions accurate, and renewals on time.

What You’ll Do

AP/AR & Cash Cycle:

Enter and route invoices, manage payments, create client invoices, apply cash, and lead collections follow‑ups; code AMEX/credit‑card transactions with full support/receipts; complete monthly bank/credit‑card and key balance‑sheet reconciliations.

Event Reconciliations & Commissions:

Tie out each event’s revenue, comps/discounts, expenses, and COGS across Goodshuffle Pro and HubSpot; prepare and route commission worksheets for approval; finalize payroll handoff and maintain a commissions ledger and monthly report.

Vendors, Compliance & Renewals:

Own vendor onboarding (W-9s, COIs/endorsements, ACH forms, contracts), maintain the approved vendor list and compliance dates, track software/insurance renewals, and provide client COIs as needed.

Systems & Data:

Serve as a finance power user in

QuickBooks Online ,

Goodshuffle Pro , and

HubSpot ; ensure cross‑system data integrity and support standard reporting for leadership.

Payroll & People Support:

Support bi‑weekly payroll processes and related recordkeeping in coordination with HR/Controller; assist with licenses/registrations and other administrative renewals with the Executive Administrator.

What You’ll Bring

5+ years of hands‑on bookkeeping with QBO, AP/AR ownership, reconciliations, and documentation discipline.

Experience (or fast aptitude) in Goodshuffle Pro and HubSpot CRM.

Accuracy under deadlines, discretion with sensitive info, and a collaborative style with Sales/Design.

Proficiency across Microsoft 365/Teams and common client/vendor portals.

Nice to Have

Events industry or project‑based accounting experience.

Familiarity with COIs/insurance requirements and commission plans.

Work Environment & Physical Requirements Work performed on‑site in our Atlanta office, Monday – Friday. Regular computer work; ability to sit for extended periods; lift up to 20 pounds; clear verbal communication.

Starting Pay Rate: $40.00 per hour + KPI bonus structure and benefits
