Position Summary The Executive Assistant (EA) to the CEO is a strategic operations partner who ensures the CEO’s time, relationships, and responsibilities are managed with the utmost precision, discretion, and alignment to organizational priorities. This role is essential to the smooth operation of the CEO’s office and contributes to the effectiveness of Breakthrough’s leadership team, home office operations, and board governance.

This is a high-trust, high-impact role for an exceptional professional who thrives in fast-paced environments, operates with a deep sense of mission, and models excellence in every interaction.

Key Responsibilities Executive Support & Strategic Operations

Own and manage the CEO’s complex and shifting calendar, proactively prioritizing strategic priorities and mission‑aligned work.

Coordinate meetings, travel, and events with a high degree of logistical precision and professionalism.

Serve as the gatekeeper and scheduler, ensuring the CEO’s time aligns with organizational priorities and critical relationships.

Anticipate needs and prepare the CEO for all meetings with relevant documents, context, and follow‑up materials.

Internal & External Communication

Draft, edit, and manage internal and external communications on behalf of the CEO, including memos, reports, board materials, talking points, and email correspondence.

Act as a liaison between the CEO and staff, board members, external partners, and key stakeholders.

Manage the flow of information to and from the CEO’s office with discretion, professionalism, and clarity.

Project & Priority Management

Track and follow up on CEO priorities and leadership team initiatives to ensure timely completion.

Support execution of strategic initiatives, including coordination of cross‑functional meetings, preparation of materials, and documentation of decisions.

Manage special projects on behalf of the CEO, including stakeholder engagement events, leadership off‑sites, and staff celebrations.

Board Governance & Support

Serve as the administrative lead for Board of Directors meetings, including scheduling, preparation, materials distribution, and record keeping.

Support logistics for board meetings, including technology setup, IT coordination, and catering, as required.

Maintain up‑to‑date contact information for all Board members, ensuring that the Board on Track and email listservs remain current.

Home Office Operations

Serve as the first point of contact for internal and external visitors to the BPS home office; create a warm and professional front‑facing experience.

Manage home office logistics and operations, including office supply inventory, vendor orders, postage machine balances, signage, meeting room availability, and technology updates.

Manage mail and package delivery and distribution; liaise with landlord and facilities team for maintenance and custodial needs; coordinate monthly parking pass distribution.

Process home office accounts payable and collaborate with Finance on timely vendor payments; collaborate with People Team to keep all office bulletin boards up to date and tidy.

Support logistics for all‑staff meetings, including scheduling, technology setup, IT coordination, catering, and material preparation.

Coordinate travel and professional development logistics for home office staff as assigned.

Key Qualifications Required

5+ years of experience in executive‑level support, ideally to a CEO or senior leader.

Exceptional organization and project management skills with demonstrated ability to manage multiple complex priorities.

Highly proficient in Google Workspace (Docs, Sheets, Calendar, Gmail) and project/task management tools.

Excellent verbal and written communication skills, with the ability to convey information clearly and concisely.

High level of emotional intelligence, discretion, and professional judgment.

Preferred

Experience in education, nonprofit, or mission‑driven organizations.

Familiarity with board governance tools (e.g., Board on Track) and administrative compliance practices.

Bachelor’s degree or equivalent professional experience.
