Overview
The Attorney Practice Coordinator coordinates and performs high‑level tasks to support multiple attorneys’ practices. Requires excellent time management, communication and organizational skills. Requires extensive knowledge of state and federal judicial systems, and agency procedures in labor and employment law.
This is a hybrid position resident in Houston, Texas and follows a schedule working in‑office 3 days per week.
Responsibilities
Coordinate attorney support from the Attorney Resource Team and other corporate departments including calendar management and billing team tasks.
Ensure accurate and complete submissions to the Attorney Resource Team, including thorough instructions and documentation.
Communicate with case teams to avoid duplicate requests submitted to the Attorney Resource Team.
Verify court and other deadlines and alert attorneys of upcoming due dates.
Create and update litigation matters in the matter management system.
Create and timely update Tables of Contents (TOCs) and Tables of Authorities (TOAs).
Coordinate and finalize documents for filing with courts or administrative agencies, and service upon other parties.
E‑file documents with courts and agencies in accordance with applicable rules.
File in the firm’s document management systems (e.g., NetDocument).
Accurately create and submit New Client Matters (NCM) within firm standards.
Coordinate transcription of audio recordings; manage printing and assembling of documents with office services personnel.
Maintain attorney contact lists through Outlook and the Client Relationship Management system (e.g., InterAction).
Submit daily task logs identifying projects and assignments in a timely manner.
May review and revise client pre-bills.
Provide front desk coverage at the Houston location one day per week, supporting administrative functions and visitor coordination.
Qualifications
Minimum of 5+ years of experience in a strong professional or educational environment.
Highly organized with ability to support multiple attorneys’ practices and coordinate multiple tasks and requests effectively.
Demonstrates strong time management with the ability to prioritize and anticipate practice needs.
Demonstrates initiative to identify, monitor and execute tasks related to case timelines.
Strong written and verbal communication skills with internal and external partners.
Advanced knowledge and proven expertise using Best Authority to produce Tables of Contents (TOC) and Tables of Authorities (TOAs).
Extensive knowledge of court rules and ECF procedures.
Proficiency in MS Office, Outlook and document management systems (e.g., NetDocument).
Experience with Forte to create compliant legal documents and correspondence.
Knowledge of legal terminology.
Bachelor's degree preferred.
