Villatel seeks an Inventory Control Coordinator to be responsible for managing and maintaining accurate inventory levels across the property. This individual will ensure that all supplies, materials, and products are properly received, recorded, stored, and properly disbursed. The ideal candidate is detail-oriented, organized and proactive in identifying discrepancies or inefficiencies in the inventory process.

POSITION RESPONSIBILITIES:

Monitor, track, and maintain inventory levels for all departments, including Housekeeping, Maintenance, and Guest Amenities, to ensure adequate stock without overages.

Coordinate with purchasing and department managers to forecast and order necessary supplies.

Process departmental requisitions for supplies, ensuring timely and accurate fulfillment.

Receive, inspect, and verify incoming shipments against purchase orders and invoices, resolving any delivery discrepancies or damages with vendors and Management.

Conduct regular cycle counts and periodic physical inventories, reconciling inventory variances and investigate discrepancies promptly.

Update and manage inventory records in the company's inventory system. Prepare regular inventory reports and communicate findings to management.

Support cost‑control initiatives by minimizing waste, tracking shrinkage, and recommend process improvements. Assist in the development and implementation of inventory control procedures.

Maintain organized and secure storage areas (including the main storage areas and any storage closets on site) with proper labeling and documentation.

Ensure all items, particularly chemicals, are stored safely and in accordance with compliance standards.

QUALIFICATIONS:

High school diploma or equivalent required; associate or bachelor’s degree preferred.

2+ years of experience in inventory control, warehouse operations, or purchasing (hospitality, vacation rental or resort experience a plus).

Strong computer skills, including Microsoft Excel and inventory management software. Experience with Property Management Systems (PMS) or procurement platforms is beneficial.

Excellent attention to detail and organizational skills.

Strong analytical and problem‑solving abilities.

Ability to lift, move, and organize inventory items (up to 50 lbs.).

Must be able to safely operate inventory‑related equipment, such as pallet jacks or hand trucks.

Effective communication skills and ability to work collaboratively across departments.
