Overview of Role Reporting to the Office Manager & Executive Administrator and based in our Denver office, this role will be the primary contact for reception. In general, this role will greet and direct all visitors, answer calls, oversee conference‑room calendars, coordinate office supply orders, maintain organization of reception area, contribute to overall employee morale and support the Facilities Coordinator in specific tasks. This role can expect to work with a wide array of individuals in a given day, including employees, brand partners, vendors, walk‑ins, interview candidates, caterers, employee guests and, of course, the dogs of BOA. BOA uses Microsoft suite, and will use programs such as Outlook, Word, Excel, PowerPoint, SharePoint and Teams.

Core Responsibilities

Reflect and role‑model BOA’s vision, values and Leadership Model and demonstrate passion for our mission across the Facilities team and rest of the organization.

Operate Teams telephone system, answering calls, monitoring voice messages and directing them to the relevant party.

Provide basic guidance on navigating BOA warranty ordering website.

Maintain a welcoming presence in the reception area and ensure that external visitors check in upon arrival.

Order, receive, and maintain stock inventory of office supplies including kitchen supplies, coffee supplies, conference‑room supplies, PPE & health and safety supplies.

Coordinate the daily operations of the front office including distribution of incoming mail, mailbox updating and cleanup and restocking of the front desk break area.

Coordinate with other departments to be present during scheduled visitor appointments or special deliveries and ensure proper communication when staff members are expecting them.

Oversee conference rooms and BOA Van calendars to avoid overlap bookings.

Orient new employees on general office procedures, ensuring a smooth, welcoming orientation.

Help coordinate catering for meetings and office lunches upon request.

Work with the Facilities Coordinator to guarantee daily coverage of tasks such as cleaning of coffee machines, dishwasher cycles and kitchen/Summit bar restocking.

Monitor Verizon phone plan, Cintas and other invoicing, ensuring accuracy and submission to the Finance team monthly.

Other tasks as assigned.

Required Qualifications

High school diploma or equivalent.

Ability to collaborate and build relationships with diverse groups of people across the globe.

Dedication to serving both internal and external customers.

Competence and comfort managing a professional telephone service.

Ability to utilize tact and diplomacy when handling incoming and outgoing telephone calls.

Desire to use your organized approach to maintain our fast pace and manage multiple deadlines.

Ability to maintain confidentiality.

Developed administrative skills such as supporting multiple people, applying MS knowledge and quickly learning different employee needs.

Overview of Compensation and Benefits

Budgeted salary: $24/hour

This role is also eligible for a 10% annual bonus.
