Recruiter & Account Manager @ Reagan Madison Solutions The Controller is the sole senior finance leader for a home services company and owns 100% of the accounting and finance function. This hands‑on role combines strategic oversight with day‑to‑day execution, ensuring accurate books, timely reporting, cash‑flow visibility, and scalable processes. The Controller will close the books monthly, manage payroll, AR, AP, compile financial statements, support external reporting (tax, banking, insurance), and author all accounting policies, procedures and SOPs.
Key Responsibilities
Lead full‑cycle month‑end close: journal entries, reconciliations, accruals, fixed‑asset depreciation, job‑cost allocations, prepaid amortization.
Prepare GAAP‑compliant monthly financial package: Balance Sheet, P&L by department/job, Cash Flow Statement, KPI dashboard (gross margin by service line, labor efficiency, DSO, current ratio).
Maintain chart of accounts, cost‑center structure, and job‑costing modules in QuickBooks.
Deliver ad‑hoc analyses for ownership (bid profitability, equipment ROI, labor burden, warranty reserves).
Accounts Receivable & Credit
Oversee AR aging; enforce credit policy for commercial/residential clients.
Issue invoices, apply payments, pursue collections.
Reconcile customer deposits and progress billings.
Process vendor invoices, match to POs/receiving docs, code to correct GL/job.
Execute weekly ACH/check runs; negotiate payment terms and early‑pay discounts.
Payroll & HR‑Related Finance
Process weekly payroll
Allocate labor burden (payroll taxes, workers’ comp, health, 401(k)) to jobs.
Reconcile payroll liabilities; file quarterly 941s and state unemployment returns.
Treasury & Cash Management
Forecast weekly cash requirements
Monitor daily bank balances, initiate wire transfers, manage merchant services fees.
Compliance & External Reporting
Primary liaison with external CPA firm for annual review/tax return; supply clean trial balance and supporting schedules.
Prepare borrowing‑base certificates, equipment schedules, and personal financial statements for bank covenant compliance.
Coordinate workers’ comp and liability insurance audits.
Draft, implement, and annually update the Accounting & Finance Policy Manual (close checklist, AR/AP workflows, expense reimbursement, inventory counts, fixed‑asset capitalization).
Qualifications & Requirements Required
Bachelor’s degree in Accounting or Finance.
5+ years of progressive accounting experience
Experience in QuickBooks Desktop with job‑costing and prevailing‑wage modules
Full‑cycle close experience under accrual‑basis GAAP; ability to compile financial statements without external help.
Hands‑on payroll processing and multi‑state payroll tax knowledge.
Preferred
CPA or CPA candidate (inactive OK).
Plumbing, HVAC, or electrical contractor industry experience.
Experience converting percentage‑of‑completion to completed‑contract for tax.
Familiarity with ServiceTitan, Housecall Pro, or similar FSM software GL integration.
Ownership mentality
– treats the books as if the company were their own.
Process builder
– turns ad‑hoc workflows into repeatable SOPs.
Communicator
– translates numbers into plain‑English insights for non‑financial owners.
Deadline driven
– never misses a close or payroll run
