Administrative Assistant – General Surgery

Job Summary Provides administrative support for the department, involving extensive interaction with diverse populations including the public, visitors, patients and families, and providers.
Primary Responsibilities
Answers and screens telephone calls; takes accurate messages or directs calls to the appropriate person.
Greets and directs patients, families, visitors, and staff, providing clear and timely information.
Types and prepares correspondence and documents, ensuring quality standards, proofreading for grammar, punctuation, and spelling.
Drafts routine correspondence and compiles/distributes reports and other information as needed.
Schedules appointments and meetings, maintains calendars for assigned staff, and assists in preparation for conferences, seminars, and department‑sponsored programs.
Prepares, routes, and tracks routine administrative forms and documents, and resolves delays or errors in coordination with other hospital departments.
Performs routine clerical duties (mail handling, photocopying, sorting, collating, distributed documents).
Organizes and maintains department files, records, and databases following established procedures; enters information from source documents into databases and spreadsheets.
Updates patient demographic and insurance information, obtains specialist referrals, schedules patient appointments using scheduling tools, and coordinates ancillary appointments with hospital staff.
Prepares patient records for clinical activities and maintains records for physicians; acts as liaison with other departments and external customers in a calm and supportive manner.
Handles confidential information appropriately and explains policies and procedures when necessary.
Assists and supports licensed practitioners by queuing prescriptions for renewal.
Required Qualifications
High School diploma or GED required.
0–1 year(s) related work experience.
Experience with computer systems including web‑based applications and Microsoft Office (Outlook, Word, Excel, PowerPoint, Access).
Qualifications
Medical/dental experience is a plus.
Strong work ethic.
Comfortable on phones, scheduling appointments, retrieving outside records, and excellent customer service skills.
Multi‑tasker, supports 3–5 providers.
Pay Base hourly rate: $20.50–$27.59 per hour. Additional compensation may be provided for shift differentials, call pay, premium pay, overtime, and additional pay practices in accordance with applicable laws.
