Executive Assistant
The Atlanta Regional Commission (ARC) is the regional planning and intergovernmental coordination agency that focuses on issues critical to the region's success, including growth and development, transportation, water resources, services for older adults, and workforce solutions. ARC is dedicated to unifying the region's collective resources to prepare the metropolitan area for a prosperous future. This is done through professional planning initiatives, the provision of objective information and the involvement of the community in collaborative partnerships.
The Executive Assistant will be responsible for serving as the assistant to the Community Development Managing Director and providing general administrative support to the Community Development Department. This position is responsible for performing complex administrative level work, interacting with multiple stakeholders, multi-tasking in a dynamic environment, and supporting the regional development plan.
Essential Duties and Responsibilities
- Leads the management of department director's calendar, meeting schedules, communication internally and externally, and drafting memos.
- Provides clerical and administrative support that may include scheduling meetings; coordinating meeting logistics; maintaining and ordering supplies; reception duties; preparing and mailing correspondence and providing customer service;
- Prepares, organizes and maintains files, logs and records; enters and updates system data; reviews and maintains schedules; photocopies documents;
- Monitors and coordinates administrative and clerical support functions for the Community Development Department, including transaction processing, calendaring, critical project deadlines, and logistics for meetings and events; monitors and coordinates workflow and ensures deadlines are met;
- Compiles, organizes and tracks data and information; reviews and verifies data for accuracy and completion; prepares and distributes standard reports, notices, requests, documents and/or correspondence; monitors completion, authorization and timely return of applicable documents and forms;
- Assists and provides support in meeting and/or event planning; coordinating event logistics and dissemination of information;
- Processes and monitors status of a variety of administrative and financial transactions such as invoice processing, payment, credit card reconciliation/payment, procurement forms and/or travel arrangements; coordinates internal office transaction processes;
- Compiles information for reports and presentations; prepares complex documents; edits and proofs documents including the work of others; updates website content; prepares meeting agendas and related materials; updates and maintains databases, logs and monitoring reports;
- Perform other duties as assigned to support Agency goals and objectives.
Minimum Qualifications
- Associate's degree in business administration or a related field
- Four (4) years of related administrative support or customer service experience
An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.
Preferred Qualifications
- Experience supporting senior management
- Presentation design skills a plus
Required Knowledge, Skills, Abilities and Competencies
- Knowledge of public sector program support;
- Knowledge of the Atlanta region and experience supporting board level meetings;
- Ability to support both internal and external customers;
- Ability to work independently or collaboratively with a team;
- Ability to proactively plan, prioritize, and organize work to ensure results are achieved;
- Ability to work toward broad goals with little direct supervision;
- Ability to meet critical deadlines;
- Possess strong organization skills and dynamic social skills with close attention to detail;
- Strong and effective oral and written communication skills;
- Self-starter, enthusiastic, with excellent interpersonal skills;
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, and Power Point).
