Administration Secretary and Foodservice Assistant

Job Title: Administrative Secretary / Food Service Assistant (60/40 Split)

Reports to: Director of Finance & Assistant Superintendent

Pay Grade: Clerical/Paraprofessional (CP 3)

Primary Purpose

Provide administrative and clerical support to ensure efficient operation of the district’s Food Service Department and general administrative office. This hybrid position combines duties related to food service management, accounting, reporting, and general administrative assistance, including receptionist responsibilities for the administration building.

Qualifications

  • High school diploma or GED required
  • Valid Texas educational aide certificate preferred
  • ServSafe certification (or willingness to obtain within 90 days)

Special Knowledge/Skills

  • Proficient keyboarding and data entry skills
  • Strong organization, communication, and interpersonal skills
  • Ability to maintain confidentiality and manage multiple priorities
  • Knowledge of bookkeeping, purchasing, and clerical procedures
  • Ability to follow written and verbal instructions
  • Ability to operate a multi-line phone system

Experience

  • Two years of clerical or administrative office experience preferred
  • Experience in a school district or food service environment preferred

Major Responsibilities And Duties

Administrative Secretary (60%)

  • Prepare correspondence, reports, and forms for department heads and other staff.
  • Compile and organize pertinent data for local, state, and federal reporting.
  • Maintain both physical and computerized departmental files.
  • Answer incoming calls, take reliable messages, and route appropriately.
  • Serve as receptionist for the Administration Building, greeting visitors and providing customer assistance.
  • Maintain schedules, coordinate appointments, and arrange travel for department staff.
  • Receive, sort, and distribute mail and interoffice communications.
  • Assist with preparation of purchase orders and payment authorizations.
  • Maintain confidentiality of all records, correspondence, and personnel data.
  • Perform other clerical duties as assigned to support district operations.

Food Service Assistant (40%)

  • Process and maintain Free & Reduced Meal Program applications.
  • Process meal applications, track and report meal counts, and maintain documentation for audits.
  • Run daily and weekly reports for deposits and sales; verify accuracy and submit to Business Office.
  • Track negative lunch balances and communicate with guardians regarding account status.
  • Verify and submit payroll time entries for Child Nutrition staff, correcting missed punches as needed.
  • Communicate with HR regarding onboarding tasks such as fingerprinting for new hires.
  • Assist with catering events, district functions, and campus lunch services as needed.
  • Scan receipts, maintain digital filing systems, and ensure all food service documentation is organized.
  • Support inventory tracking and ensure required documentation is maintained for compliance.

Supervisory Responsibilities

None.

Equipment Used

Personal computer, printer, copier, calculator, telephone, fax machine, and multi-line phone system.

Frequent software

Google Workspace, Microsoft Office, ADP, and MEALS system.
