We're looking for Executive Assistants to deliver reliable, high-quality support to our C-level Executives. You'll go beyond managing calendars to become a reliable partner who keeps priorities aligned and operations running smoothly. Your work will be at the core of their daily operations, seamlessly enabling collaboration and connection within the executive team and the company.
You possess high attention to detail, operational excellence, outstanding communication skills, and exceptional process and project management. You are grounded in integrity and discretion, understanding exactly when to push forward on an initiative and when to manage expectations. You will act as the critical bridge between the executive and their greater departments, and easily handle sensitive communication with multiple senior stakeholders.
In this role, you'll tackle complex logistics daily, including managing tricky travel schedules, global meeting requests across multiple time zones, and flawless execution of both internal and external meetings. You'll help develop agendas, capture detailed notes, track action items, and manage all necessary follow-up communications with stakeholders. You represent your C-level executive, responsible for transforming their vision into operational outcomes.
You are energetic, poised, and personable with an excellent, polished executive-level presence. Success here requires strong judgment, efficiency, and the ability to prioritize in a fast-paced environment while anticipating your executives' needs before they arise.
This is a hybrid role in our New York office.
Key Responsibilities
Manage and maintain busy calendars, coordinate meetings, and handle scheduling changes with professionalism and efficiency
Support the preparation and follow-up for meetings, including drafting agendas, capturing notes, and tracking action items
Coordinate travel arrangements and expense reporting for C-level executives
Serve as a reliable point of contact for internal and external stakeholders on behalf of the executives
Provide general administrative support to help ensure smooth day-to-day operations
Assist in preparing presentation decks, reports, and correspondence
Help organize internal and external events, team offsites, and cross-functional meetings
Assist in managing company & team meetings/events (i.e. All Hands, team meetings, hybrid events). This includes scheduling rooms, securing and preparing audio/video equipment for presentations, securing meeting materials or digital files from all applicable divisions, and storing documents for future reference
Embrace the culture, values, and goals of your leaders when engaging with internal and external stakeholders
Assist with special projects as needed
Recognize operational weaknesses and help sharpen processes or develop new ones
Collaborate with other members of the admin team to provide seamless support for the company
Experience and Background
7+ years of administrative or executive support experience, ideally supporting director-level or senior leadership in a fast-paced environment
Strong attention to detail, excellent organizational and time management skills
Able to juggle multiple tasks and prioritize effectively under deadlines
Proactive, positive attitude with a strong sense of ownership and follow-through
Technologically savvy with the ability to quickly adapt to new applications and tools
Proficiency in Google Workspace (Calendar, Docs, Sheets, Slides)
Based in the New York Metropolitan Tri-State Area. You understand the highly adaptable nature of support work and are comfortable with being available as needed

The salary range for this role is $80,000 - $100,000 annually. The final salary offered will be determined based on relative experience, skills, internal equity, and location. We also offer a generous total rewards program.
