Overview

Administrative Assistant role at Allana Buick & Bers, Inc. We are a multi-disciplinary architectural, engineering and construction firm. The Administrative Assistant will undertake a broad set of administrative and clerical tasks, provide support to managers and employees, assist in daily office needs, and manage the company’s general administrative activities, including travel, meeting arrangements, preparing reports, and maintaining filing systems. The role supports the Honolulu office to ensure efficient day-to-day operations.

Responsibilities

  • Arrange events, appointments and travel
  • Manage phone calls and correspondence (including email, memos, letters, faxes and forms)
  • Attend meetings and take detailed minutes
  • Participate in the preparation of regularly scheduled reports
  • Organize contact lists and filing systems
  • Meet and support visitors
  • Help clients and company representatives contact each other
  • Review and update office policies and procedures
  • Monitor office supplies and research new deals and suppliers
  • Collaborate with executive and senior administrative assistants to handle requests and queries from senior managers

Desired Skills And Experience

  • Experience with office management systems and procedures, and with office equipment (printers, fax machines)
  • Excellent oral and written communication skills; ability to organize work using tools like MS Excel
  • Good practical experience with MS Office
  • Strong time management and problem-solving skills with the ability to prioritize work
  • Outstanding written and verbal communication skills with close attention to detail
  • Strong organizational skills with the ability to multi-task
  • Associate's degree in related field preferred; additional qualification as Administrative Assistant or Secretary is a bonus
