Administrative Assistant – CoreNest Early Learning & Workforce Division

About the Role CoreNest is seeking a dependable and highly organized Administrative Assistant to support executive leadership and daily operations across our childcare and workforce programs. This role is ideal for someone who thrives in a fast-paced environment, communicates clearly, and takes pride in keeping systems, schedules, and documents organized. The right candidate will bring structure, confidentiality, and excellence to every task.

Responsibilities

  • Manage calendars, appointments, and meeting coordination for leadership.
  • Prepare correspondence, reports, and presentation materials.
  • Track invoices, payroll submissions, and project deadlines.
  • Maintain accurate and organized records, electronic files, and internal documents.
  • Support HR coordination, staff communication, and onboarding processes.
  • Assist with compliance and reporting for childcare, workforce, and grant programs.
  • Coordinate travel, events, and logistics for meetings or training sessions.
  • Serve as a professional liaison between management, site directors, and partners.
  • Handle confidential information with discretion and sound judgment.
  • Anticipate administrative needs and complete projects proactively.

Qualifications

  • 2–4 years of administrative or executive support experience preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office and/or Google Workspace.
  • Ability to multitask and manage priorities with minimal supervision.
  • Dependable, professional, and comfortable handling confidential matters.

Preferred Experience

  • Prior experience in childcare, education, or workforce program administration.
  • Familiarity with tools such as Brightwheel, SmartSuite, Monday.com, or Notion.
  • Experience preparing reports or documentation for compliance or grants.
  • Ability to coordinate across multiple locations and teams.
