LoveMoves.Us – Organizational Excellence Specialist (Administrative Assistant)
Job Description: As our Organizational Excellence Specialist, you will orchestrate the seamless management of our data and communication operations. You’ll keep our database in top shape, segment data, and create accurate reports. You’ll also handle communications, scheduling, email marketing, and website updates with exceptional organization, ensuring that our Executive Director remains well‑organized and focused.
Job Type: Part‑Time, Flexible, Approximately 20 hours per week
Location: Remote (must meet in Joliet, IL twice a month)

- Loves data, segmentation and database management
- Bachelor’s Degree and remote work experience preferred
- Available daily (Mon‑Fri) during business hours, at least 20 hours/week
- In‑home office setup with mastery of MS Office, Word, Excel, mail merge and pivot tables
- Experience with Mac computers preferred
- Fast and reliable internet connection
Essential Functions / Responsibilities
- CRM administration & mastery: organize, update data, data entry and reporting
- Maintain Executive Director’s appointments/calendar
- Prepare presentations and/or spreadsheets
- Email marketing & scheduling – experience in MailChimp preferred
- Create structure/workflow/processes and maintain consistency
- Research technologies and make recommendations
- Make travel arrangements, including booking flights, cars and hotel/restaurant reservations
- Project assistance/coordination
- Event planning and coordination
- Provide assistance with personal tasks as needed
