Assistant Director, Research Administration – Stanford, California. New position within Finance; Requisition #107645. School/Unit Description:
The Ginzton Laboratory houses the research operations of 20 Principal Investigators, 25 staff scientists, 200+ graduate students, 35 post docs, 35 support staff and numerous visitors. It is an interdisciplinary research lab that explores areas at the overlap between engineering and the sciences, including quantum science and engineering, photonic science and engineering, and nanoscience and engineering. The environment encourages applications across sensing, communications, information processing, biology and medicine, energy, and the environment. Position Summary:
Join the research administration and financial management team to oversee a high performing group of grant administrators, supporting proposal preparation and post-award activities on grants, contracts, and both federal and non-federal awards, including routine and complex cases. This role ensures compliance with sponsor and university policies, provides training and mentorship, and directs the life cycle of awards with financial forecasting and reporting, policy interpretation, transaction review, and escalation guidance. The position develops collaborations with faculty, staff, and internal and external partners. This is a dynamic role requiring professionalism, leadership, productivity, accuracy, initiative, sound judgement, attention to detail, and follow-through. The ideal candidate will have a background in pre- and post-award grant management, strong customer service orientation, excellent communication and technical skills, and the ability to work well across a culturally diverse population. The role manages five other research administrator team members who support the financial portfolio of 20 active faculty members and emeriti. Core Duties
Manage the work of other employees, including hiring decisions, coaching and mentoring, performance management, and succession planning within the area of responsibility. Establish objectives for the unit and oversee budgets for areas of responsibility; lead post‑award sponsored research administration and services as needed. Identify and resolve complex issues spanning multiple areas, applying analytical and creative problem-solving. Oversee report preparation and analysis, consolidating multiple financial and statistical data points. Communicate and ensure adherence to financial policies and procedures; maintain accuracy and timeliness of management financial processes and reports. Collaborate on cross-functional projects; contribute to policy changes or new controls and processes. Participate in analysis of existing systems, policies, and procedures; recommend and implement approved solutions. Contribute to projects in the unit; determine approaches to managing and completing processes. Represent the unit within the school and to external constituencies. Minimum Requirements
Education & Experience:
Bachelor’s degree and six years of relevant experience, or an equivalent combination of education and experience. Knowledge, Skills and Abilities: Advanced knowledge of Microsoft Office Suite Knowledge of Oracle or other business financial systems Solid understanding of financial principles Advanced oral and written communication skills Ability to present information clearly to internal and external audiences and all levels of management Strong analytical skills to review and analyze complex financial information Strong leadership and management skills with experience managing people and delegating workload Knowledge of property management requirements related to Stanford or non-Stanford equipment and fabrications Experience in project management of a high volume of work, including cyclical tasks For sponsored projects: ability to manage pre- and post-award administration, knowledge of governmental regulations, and completion of Cardinal Curriculum level I and II Knowledge of procurement needs, including sole-sourcing, cost analyses, vendor requirements, and small business reporting Experience working with PIs, administrative staff, and the office of sponsored research and external sponsors Proven ability to perform meticulous, high-quality, compliant work Ability to interpret complex research and fiscal policies and mentor others Physical Requirements
Constant desk-based computer tasks Frequent standing/walking, sitting, and fine manipulation Occasional use of a telephone Rarely lift, carry, push, or pull objects weighing 11-20 pounds *
