We are seeking a proactive
Bookkeeper
to join our tight-knit finance team and support the financial backbone of our expanding operation. This full-time, on-site role reports directly to the Controller and serves as the day-to-day steward of accurate financial records, ensuring seamless cash flow, vendor relations, and compliance across all transactions. You\'ll thrive in a dynamic environment where attention to detail meets the pace of a company that ships custom architectural products to clients like Fortune 500 corporations and federal agencies. Key Responsibilities:
Full-Cycle Accounts Payable & Receivable : Enter vendor invoices into QuickBooks Online within 24 hours of receipt, verify approvals, and process payments via ACH, wire, or check according to net terms (Net 15, Net 30, etc.). Follow up on overdue receivables with polite but firm emails and calls, escalating to leadership when necessary. Bank & Account Reconciliations : Perform weekly reconciliations of all bank, credit card, and merchant accounts; investigate and resolve discrepancies the same day they\'re identified. Maintain a rolling 12-month reconciliation log for audit readiness. Expense Recording & Job Costing : Categorize every expense by GL code and allocate to specific projects/jobs using cost codes. Flag any unallocated or miscoded items for review before month-end close. Tax & Compliance Support : Prepare annual 1099-NEC forms for vendors, file monthly/quarterly sales-tax returns in multiple states, and compile supporting schedules (trial balance, aged AR/AP) for external CPA firm and auditors. Employee Expenses & Corporate Cards : Review and approve employee expense reports within 48 hours, reconcile corporate card statements monthly, and replenish petty cash as needed. Fixed Assets & Depreciation : Maintain a detailed fixed-asset register in Excel, record new purchases, calculate straight-line depreciation monthly, and tag assets with barcodes for physical inventory counts. Ad-Hoc Reporting : Build and distribute weekly cash-flow forecasts, monthly project profitability reports, and custom dashboards for leadership using Excel pivot tables and QuickBooks exports. Vendor Management : Cultivate relationships with key suppliers, negotiate early-payment discounts or extended terms when cash flow allows, and maintain a digital vendor file with W-9s, certificates of insurance, and contract copies. Payroll Support : Verify bi-weekly timesheets, overtime, and bonus entries in third-party payroll system (ADP, Gusto, or similar); ensure accuracy of deductions and direct deposits. Budget & Audit Contribution : Assist Controller in drafting the annual operating budget by providing historical data and variance explanations. Participate in internal audits by pulling requested documents and walking auditors through processes. Qualifications:
Experience : 2–3 years of hands-on, full-charge bookkeeping in a small-to-mid-sized company; exposure to construction, manufacturing, or project-based industries strongly preferred (e.g., job costing, progress billing, retainage). Software Proficiency : Advanced user of QuickBooks Online (QBO certification a plus); able to set up chart of accounts, customize invoice templates, and troubleshoot sync errors. Accounting Knowledge : Solid grasp of U.S. GAAP, particularly revenue recognition under ASC 606, percentage-of-completion accounting, and job-costing principles. Excel Mastery : Comfortable with pivot tables, VLOOKUP/XLOOKUP, INDEX-MATCH, basic macros, and conditional formatting; able to build dynamic financial models from scratch. Education : Associate\'s or Bachelor\'s degree in Accounting, Finance, or Business Administration (or equivalent coursework/experience). Soft Skills : Exceptional organizational habits—color-coded folders, named ranges in Excel, and a “zero inbox” philosophy. Proven ability to juggle multiple deadlines in a fast-paced environment without sacrificing accuracy. Integrity & Discretion : Impeccable ethical standards; comfortable handling sensitive payroll data, executive expense reports, and client payment terms.
