Job Summary

Manager, Special Events will support the overall special events efforts of the Westchester Medical Center Health Network, including signature events at all network hospitals. The role involves managing assigned and other fundraising programs, assisting the Director, Special Events with the execution of network Galas and other marquee events, and overseeing the planning and delivery of medium to large?sized WMCH conferences and symposiums. The Manager will be responsible for creative development, logistics, vendor communications, budget management, and production of assigned fundraising events. Responsibilities Manage day?to?day duties to create successful events, working with the marketing department and foundation team to build awareness and generate funds. Manage solicitation lists and collaborate with the Foundation on donor outreach and event sponsorships. Follow?up on events, program sponsorships, and committee activities while overseeing all event logistics. Obtain, evaluate, and process vendor proposals; communicate with vendors, book contracts, oversee rental orders, and submit payment vouchers. Oversee on?site event logistics and maintain event donor history in Salesforce. Collaborate with Marketing on the design and production of event materials, including save?the?dates, invitations, and journals. Recruit, manage, mentor, and train event volunteers, fostering a team approach to community awareness and philanthropic support. Determine security needs, insurance coverage, and special permits required for on? or off?site events. Create and maintain event websites, send scheduled e?blasts, and adhere to Development Marketing policy and procedures. Perform other duties and special projects as required.

Qualifications / Requirements

5+ years of non?profit fundraising and event?planning experience (required). Bachelors Degree (required). Knowledge of Salesforce, Classy, Marketing Cloud, and MS Office products preferred. Excellent written and verbal communication skills, attention to detail, and ability to meet strict deadlines. Team player committed to a collaborative environment and high customer?service orientation. Flexible schedule, night and weekend work as needed; valid drivers license and willingness to travel between campuses. Demonstrated success in executing special?events logistics (Gala, Golf, Walk events highly desirable).
