Job Title: Special Events Coordinator
Organization: Indiana Youth Services Association
Salary: $43,000 - $48,000 per year
Hybrid – one to two days a week in the office depending on events

Job Description The Special Events Coordinator is responsible for planning, organizing, and executing fundraising and community engagement events that support the mission and goals of IYSA. This role involves collaboration with staff, volunteers, donors, and vendors to ensure successful events that raise awareness and generate revenue for the organization.
Key Responsibilities
Event Planning & Execution
Lead special event planning and execution
Develop and manage timelines, budgets, and logistics for special events (e.g., galas, auctions, community outreach, donor appreciation)
Coordinate venue selection, catering, entertainment, permits, and other event‑related services
Ensure events align with organizational branding and mission
Fundraising & Sponsorship
Identify and secure event sponsorships and in‑kind donations collaborating with committee
Collaborate with the Resource Development team to integrate fundraising strategies into events
Track and report on event revenue and expenses
Marketing & Promotion
Create promotional materials and manage event‑related communications (social media, email campaigns, press releases)
Work with the communications team to ensure consistent messaging and outreach
Volunteer & Stakeholder Engagement
Recruit, train, and manage event volunteers
Serve as the primary point of contact for event participants, vendors, and sponsors
Post‑Event Activities
Conduct post‑event evaluations and prepare reports
Manage thank‑you communications and donor stewardship activities
Database Management
Manage donor data base Bloomerang and fundraising software for events.
Run reports for management as needed.
Overall Marketing Support
Quarterly newsletters – collaborate with all programs for content
Manage program emails marketing content
Manage website content – as needed
Qualifications
Bachelor’s degree in Event Management, Communications, Marketing, or related field (or equivalent experience)
2+ years of experience in event planning, preferably in a non-profit setting
Strong organizational and project management skills
Excellent written and verbal communication
Ability to work evenings/weekends as needed for events
Proficiency in Microsoft Office, Google Workspace, and event management software (e.g., CRM, Give Smart, Eventbrite, Salesforce, Canva)
Preferred Skills
Experience with donor relations and fundraising
Knowledge of non-profit operations and community engagement
Creative problem‑solving and adaptability under pressure
Self‑motivated
Awareness and adherence to confidentiality and boundaries between agencies, individuals and programs
