A restaurant and coffee shop is seeking a thoughtful, organized, and growth-minded Executive Assistant to work closely with our founder in managing the financial, administrative, and operational aspects of our businesses.
Beyond daily organization, this role offers the opportunity to be part of something larger — helping to build entities that add value to people’s lives, strengthen communities, and preserve meaningful spaces. Key Responsibilities:
Financial Filings & Compliance: Manage sales tax and other government filings (NJ, NY, etc.) and coordinate the preparation and submission of 1099s and other state and federal documents. Maintain accurate records and communicate with agencies like the Department of Labor.
Bookkeeping Oversight: Oversee bookkeeping (using QuickBooks Online) for our company and related entities, prepare and update Balance Sheets and Profit & Loss statements, track partner distributions, and liaise with accountants.
Bill Payments, Vendor Management & Income Receiving: Manage all vendor payments, maintain updated vendor lists, organize billing cycles and payment reminders, and implement systems for tracking expenses and due income.
Payroll Administration: Coordinate payroll processing, track hours, verify submissions, and communicate with payroll providers for all entities.
Organization & Coordination: Keep all files and records organized (contracts, bills, vendor info, insurance), track important dates for renewals, inspections, and payments, and schedule/follow up with vendors to ensure task completion.
Qualifications:
Proficiency with QuickBooks Online and Excel / Google Sheets .
Familiarity with organizational and communication tools like SmartSheet (or willingness to learn), Google Drive, Dropbox, and Zoom .
Strong research and exceptional organizational abilities.
Familiarity with banking platforms (ACH, wires, account setup, etc.).
Comfort using ChatGPT or other AI tools to streamline work and improve efficiency.
