About The Role The Workplace & Engagement Associate plays a key role in supporting the daily operations of our workplace services. This position helps ensure the office runs smoothly by assisting with facilities management, vendor coordination, and event logistics. The role focuses on executing tasks efficiently while supporting the overall workplace experience for employees and executives. The Workplace & Engagement Associate works closely with the Workplace & Engagement Specialist to maintain high standards of service, ensuring that workplace resources are well‑organized and effectively utilized.
What You’ll Accomplish Team & Employee Support
Provide administrative support to the Workplace Operations team and assist in coordinating timelines for small‑scale projects.
Serve as a point of contact for workplace‑related requests, ensuring clear communication between departments and executive support.
Assist in logistics for cross‑departmental projects, including set‑up and coordination of resources needed by executives and teams.
Facilities Management
Assist in implementing and maintaining emergency and safety plans, coordinating trainings, and scheduling regular office maintenance.
Help organize floor moves and office rearrangements, ensuring that all workplace changes are carried out smoothly.
Maintain office supplies and equipment, ensuring that resources are available and properly stored.
Vendor Management
Support vendor relationship management by tracking service deliveries and ensuring adherence to budget guidelines.
Assist in monitoring vendor contracts, gathering performance data, and preparing reports for renewals or adjustments.
Programming & Engagement
Assist with culture programming by helping to track employee participation and engagement metrics.
Support the implementation of workplace programs and events designed to enhance employee experience, ensuring they meet service‑level agreements (SLAs).
Event Management
Assist in the planning and execution of internal company events, coordinating logistics such as room set‑up, catering, and tech needs.
Ensure all event preparations are completed on time and align with quality standards set by senior leadership.
Food & Beverage Management
Support the execution of the company’s snack and beverage strategy by managing inventory and ensuring availability.
Help implement new food and beverage programs in collaboration with the Workplace Operations Manager.
Executive Support
Assist in preparing executive workspaces, ensuring ergonomic setups and necessary technology are readily available.
Help manage office space planning, ensuring that executive preferences for workspace and meeting room layouts are met.
Budgetary Support
Track expenses related to workplace services, ensuring alignment with budgetary guidelines.
Provide basic financial reporting for small workplace projects, helping ensure efficient resource use.
Workplace Model Employees in In‑Office roles are required to be in the office 5 days per week, for the full 8 hours of a typical business day. The San Francisco office has a dog‑friendly workplace program.
Basic Qualifications
2+ years of experience in workplace operations, facilities coordination, or a related field.
Familiarity with vendor management, facilities maintenance, and basic project coordination.
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Effective communication skills and ability to work cross‑functionally with other teams.
Proficiency in Google Workspace.
Preferred Qualifications
Experience supporting workplace culture programs or events.
Understanding of safety regulations and best practices for workplace management.
Experience working with vendor contracts or basic budgeting.
Compensation This position offers an annual salary in the range of $72,000–$108,000, plus equity and benefits. The actual total compensation will vary based on qualifications, skill level, and work location.
