Position Summary St. Johns River State College is seeking an Academic Advising Assistant to support the Academic Advising Office, including Disability Services. This position serves as the front-line point of contact for students and visitors, handling reception, appointment scheduling, and basic triage. The role also includes administrative and logistical support for advising operations, including technology setup, document processing, and outreach. The ideal candidate will have strong communication and multitasking skills and a commitment to excellent student service. About the College

Duties and Responsibilities This is a full-time Career Service position. Responsibilities include, but are not limited to: OFFICE AND STUDENT SUPPORT

Serve as receptionist for the Advising Office, greeting visitors and responding to phone calls. Schedule advising and testing appointments; assist with student sign-ins and triage. Assist students with paperwork and refer them to appropriate campus services. Prepare new student folders and maintain advising visit data. Set up technology and testing for students with disabilities or placement testing as needed. ADMINISTRATIVE OPERATIONS

Process forms including travel, leave requests, requisitions, budget amendments, and mail. Utilize advising systems and generate reports on advising activity. Support advising outreach events and special projects. Work with faculty and staff to ensure testing accommodations and procedures are followed. Maintain accurate and current advising-related materials and calendars. OFFICE MAINTENANCE AND SUPERVISION

Keep office and reception area clean and organized; maintain brochure racks. Monitor and maintain office equipment; handle service requests as needed. Order and manage inventory of office supplies for the Advising Office. Supervise student workers and manage time sheet approvals. Assist with merging files and coordinating mass mailings.

Qualifications • Superior written and verbal English communication skills. • Knowledge of Microsoft Office, Banner, and advising systems such as Grades First (or willingness to learn). • Ability to operate standard office equipment with manual dexterity. • Strong multitasking skills and ability to manage responsibilities with minimal supervision.
