Position Summary
This Clerk II position has responsibilities and duties associated with supporting the Dean of Student Services and the daily operations of the Office of Student Services. The Clerk II is responsible for performing advanced clerical responsibilities, including but not limited to creating and maintaining records and administering related procedures, scheduling appointments and travel, following established policies and procedures, rules and regulations, and assisting students, faculty, staff, and visitors as needed.
SALARY SCHEDULE PLACEMENT:
Range of $34,298 - $51,793, based upon the Alabama Community College System and Shelton State Community College Salary Schedule E4-5 to be determined by the applicant's education and years of applicable experience. Primary Job Duties and Responsibilities:
Support the Dean of Student Services and the daily operations of the Office of Student Services Perform purchasing responsibilities for the Dean's office, including, but not limited to:
Create purchase orders and process requests for payment of invoices/requisitions Order office supplies and maintain office supply inventory Assist with the organization and facilitation of meetings Perform receptionist duties and telephone communications, such as: Answer phones, deliver messages, answer calls from the phone queue system (if applicable) Greet students, employees, and schedule appointments as necessary Open, sort, and appropriately distribute incoming and outgoing mail Answer routine questions from students, employees, and visitors
Perform advanced clerical responsibilities for the office, department, and/or campus, including, but not limited to:
Type, copy, and collate documents, including correspondence, emails, memos, and letters Maintain the Dean of Student Services and Student Services Divisions calendars Operate general office and computer equipment Secure equipment repair as needed Assist with travel arrangements and conference requirements Assist employees with standard departmental procedures during peak work periods
Perform record keeping and data entry responsibilities, including but not limited to: Organize and maintain office filing system Organize and maintain scanned documents Record and transcribe meetings Data entry into multiple databases at one time Enter, edit, maintain, and retrieve information and/or data on spreadsheets, databases, or other College systems Organize and present information in tables, charts, spreadsheets, etc. Assist with reports and/or projects, including assimilating data and generating reports as requested Distribute information as directed Assist with the creation of brochures, flyers, and/or other materials
Cross train with departmental staff and fill in for/assist other support personnel in the office in the event of absence, emergency, etc. Perform all responsibilities using a high level of customer service to students and visitors Work an assigned schedule with regular and consistent attendance and punctuality Secondary Job Duties and Responsibilities:

Tuition Assistance This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.
