Accounting and HR Assistant
to join our team and help us maintain our commitment to excellence. Finance, Payroll & HR Responsibilities
Accounts Payable (A/P): Open, categorize, and enter payables into QuickBooks (QB). Ensure timely weekly payments in accordance with vendor terms. Document all paid items and maintain organized digital and physical filing systems. Promptly resolve vendor invoice discrepancies. Process and document patient refund requests from the billing department. Month-End Closing:
Reconcile accounts and process necessary fund transfers. Prepare account statements and financial reports for the monthly reporting packet. Accounts Receivable (A/R):
Assist with A/R tasks as needed, including posting payments and reconciling balances. Reporting:
Generate, review, and distribute weekly and monthly financial and operational reports for ownership and leadership. Payroll Assistant Tasks:
Assist with payroll processing, including reviewing timecards, verifying hours, and ensuring accuracy prior to submission. Support the Payroll Team with onboarding and termination entries in the payroll system. Maintain employee payroll records Respond to employee payroll inquiries and coordinate resolutions with HR as needed. HR Assistant Tasks:
Assist with employee onboarding paperwork, credential tracking, and personnel file maintenance. Help coordinate offboarding tasks, including final pay and benefits notifications. Maintain updated employee rosters and support HR reporting needs. Track PTO accruals and usage in collaboration with payroll. Auditing:
Participate in internal audits to ensure financial accuracy and compliance. Verify supporting documentation for payables, payroll, and HR records. Identify discrepancies and recommend process improvements. What it Takes: Strong multitasking abilities across finance, payroll, and HR functions Excellent attention to detail and accuracy in data entry and documentation Comfortable working with numbers, financial data, and employee information Experience with Office 365, QuickBooks, and payroll systems is a plus Trustworthy, with strong problem-solving, analytical, and strategic thinking skills Ability to maintain strict confidentiality of company, employee, and client information Excellent organizational skills with the ability to manage and prioritize multiple deadlines Strong communication and teamwork skills to collaborate across departments Degree in Accounting, Finance, Human Resources, or a related field preferred New graduates are welcome-your growth and success are our success!
