Responsibilities The Administrative Assistant III (Nursing Services Staffing Coordinator) performs complex work supporting Nursing Services and reports to the Chief Nurse Executive (CNE). Responsibilities include:
Assuming responsibility without direct supervision and exercising initiative within the scope of authority.
Managing fast‑paced, multitasked, deadline‑oriented tasks with multiple managerial levels such as Nurse Administrators, Nurse Managers, Nurse Educator, and Shift Coordinators.
Preparing and disseminating staffing schedules for Nursing Services; reviewing staffing reports and coordinating unit coverage.
Assembling, organizing, and tabulating statistics and data for monitoring and evaluation of Nursing Services.
Collecting data and preparing budget reports related to overtime expenditures and contract staffing costs.
Preparing routine and special correspondence, reports, and forms; coordinating nursing meetings with agenda, minutes, and distribution.
Developing special administrative analyses and summaries of quality improvement activities; performing preliminary research and educational materials preparation.
Participating in disaster response and continuity of operations when required; performing other duties as assigned.
Essential Job Functions Attend work on a regular basis and may be required to work a specific shift schedule, including overtime or weekend work.
Serve as communication liaison between Nursing Administration and other departments; screen and monitor phone calls; direct visitors to appropriate locations.
Knowledge, Skills, and Abilities
Knowledge of office systems: Microsoft Office, Excel, Word, PowerPoint, Outlook, spelling, punctuation, grammar, arithmetic.
Knowledge of Continuous Quality Improvement, Corporate Compliance, Emergency Preparedness, Infection Control, mental health regulations, HHSC departmental rules.
Skills in coordinating trainings, meetings, travel, conference calls, and responding to complex phone and email inquiries.
Proficient in using standard office equipment, electronic data processing and Word processing software.
Strong written, proofreading, formatting, verbal communication, and independent judgment.
Ability to interpret rules, policies, and procedures; manage multiple projects; prepare correspondence and requisitions; work independently and as a team member.
Qualifications At least two (2) years’ experience in a professional support role. Must pass criminal background check, pre‑employment drug screen, and other required records. Minimum age 18. Fluency in English and ability to follow HHSC immunization policy.
Other Information Applicants must be able to work flexible hours, overtime, and telework as needed. All positions are subject to state and agency telework policies.
