Key Responsibilities
Administrative Assistant III performs complex (journey-level) administrative support work, including disseminating information, maintaining filing systems, and preparing and editing reports and documents. May provide guidance to others.
Work under general supervision with moderate latitude for initiative and independent judgment.
Perform other duties as assigned, including participating in disaster response, recovery, or Continuity of Operations (COOP) activations which may require alternate shift patterns or locations.
Coordinate meetings, conferences, and seminars.
Coordinate travel and appointments for professional staff.
Maintain filing systems and manage information, paperwork, records, and correspondence.
Essential Job Functions (EJFs)
Prepare and disseminate information concerning agency programs, services, and procedures.
Prepare, edit, and distribute correspondence, reports, studies, forms, and documents.
Answer and route phone calls; route mail, file, and order office supplies.
Create, maintain, and enter information into databases.
Compile data for charts, graphs, databases, summaries, or reports.
Maintain scheduling and event calendars.
Provide related administrative support as assigned.
Actively participate in and/or support disaster response and COOP activation as needed.
Coordinate meetings, conferences, and seminars and manage travel arrangements.
Knowledge, Skills and Abilities (KSAs)
Knowledge of office practices and administrative procedures.
Skill in the use of standard office equipment and computer software.
Ability to communicate effectively.
Registrations, Licensure Requirements or Certifications None
Initial Screening Criteria
Experience in clerical or administrative support work.
Graduation from a standard senior high school or equivalent is generally preferred. Experience and education may be substituted for one another.
Additional Information
Applicants must pass background checks, including fingerprinting, pre-employment drug screen, and registry checks (CANRS, Nurse Aide, Medication Aide, Employee Misconduct, LEIE).
Males 18-25 must be registered with the Selective Service.
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21.
Flexibility in work hours; overtime and extended hours may be required.
Immunization policy compliance; vaccines may be provided. If not immunized for influenza, masking and other protective measures may be required.
