Summary:
We are representing a reputable mechanical contractor seeking an organized and proactive Project Administrator to provide administrative and project support across multiple commercial construction projects. This position plays a key role in maintaining project documentation, coordinating communication between departments, and assisting with scheduling, purchasing, and reporting tasks. The ideal candidate is detail-oriented, dependable, and capable of managing multiple priorities in a fast-paced construction environment.
Key Responsibilities:
Maintain accurate project records including contracts, RFIs, submittals, and change orders
Assist in preparing and issuing purchase orders, tracking deliveries, and verifying invoices
Support project managers with scheduling updates, document control, and meeting coordination
Communicate with vendors, subcontractors, and internal teams to ensure timely flow of information
Process project correspondence, transmittals, and subcontractor documents for approval
Manage digital and hard copy filing systems to ensure compliance with company standards
Coordinate with accounting to verify job cost data and assist with billing documentation
Prepare meeting minutes, distribute updated drawings and reports, and track follow-up items
Assist with closeout packages including warranties, as-builts, and O&M manuals
Support administrative tasks such as reporting, time entry review, and project status updates
Qualifications:
Associate or bachelor’s degree ; equivalent construction office experience accepted
2+ years of experience in project administration or construction support
Proficiency with Microsoft Office Suite; experience with Procore, Bluebeam, or similar software
Excellent organizational and communication skills
Strong attention to detail with the ability to prioritize and meet deadlines
Professional demeanor and ability to work collaboratively with multiple teams
Strong sense of ownership and accountability for assigned tasks
