Position Overview: As our Front Office Coordinator, you’ll be the welcoming face of the practice and the heart of our front desk operations. This role is perfect for someone who is passionate about people, thrives in a team environment, and is committed to creating seamless, elevated experiences for every patient. We’re looking for someone who radiates positivity, is highly organized, and works well in a collaborative, fast-paced setting. A strong grasp of Excel, scheduling systems, and social media tools is a plus, as is an interest in aesthetics and wellness. Key Responsibilities: Greet and check-in patients with warmth and professionalism Answer phones, respond to emails, and manage patient inquiries with efficiency and compassion Schedule follow-up visits and aesthetic treatments using electronic systems Manage daily office operations, including patient flow, chart prep, and intake forms Maintain a polished and inviting reception area Coordinate pre-op and post-op instructions and logistics Support marketing efforts by assisting with light content creation, social media posts, and patient engagement Handle administrative tasks, including filing, data entry, and spreadsheet management in Excel Ensure strict HIPAA compliance and uphold patient confidentiality Work closely and supportively with the clinical and administrative team to ensure a smooth, cohesive patient experience What We’re Looking For: A people-person with excellent verbal and written communication skills Strong teamwork skills and the ability to collaborate with both clinical and administrative team members Organized, proactive, and able to multitask gracefully Proficient in Microsoft Excel, Google Suite, and comfortable with modern software tools Experience with social media platforms (Instagram, Facebook) for business use Prior experience in medical, spa, or luxury service industries preferred Polished, professional, and enthusiastic demeanor $19–$22/hour, based on experience Performance-based bonuses and perks on aesthetic services Opportunity to work in a beautiful, modern, patient-focused environment Be part of a fun and nurturing team culture that values growth and positivity Professional growth within a high-end, boutique practice Ready to Join Our Team?
