The System Coordinator Philanthropy, working under the direction of the Manager of Philanthropy Operations, is responsible for the maintenance and daily operation of the donor database (Raiser’s Edge) for the NCH Healthcare Foundation. Responsibilities include updating the software when new releases or patches are available; running standard reports; creating complex queries to meet management’s requests; creating mailing and prospect lists; importing and exporting data; posting batches; and other tasks necessary to ensure the donor database contains accurate information. Additionally, the System Coordinator is knowledgeable in other computer software such as word processing, Intranet/Internet web‑design tools, database software, and desktop publishing. This knowledge supports additional Foundation computer‑related projects to expand the donor base and increase charitable gifts. Essential Duties and Responsibilities

Identifies needs, resolves problems, and works closely with Blackbaud and IT for system upgrades, patches, and problem resolution. Participates in change‑control calls as needed and verifies donor‑base updates/upgrades in a test environment before IT applies changes to the live database. Uses advanced knowledge of queries, data merges, and data output to generate recurring and ad‑hoc reports that support and enhance the Foundation’s fundraising efforts. Establishes and monitors security access by job function for all Foundation staff in Raiser’s Edge and creates or modifies dashboards for staff to guide and measure essential duties. Trains development staff on database best practices, reporting functions, and data‑entry protocols. Provides ongoing technical support and troubleshooting for database users. Stays updated on best practices and software updates related to donor‑management systems. Oversees and maintains Raiser’s Edge, Blackbaud CRM, and other donor/fundraising databases to ensure accuracy and functionality. Regularly updates and cleans donor records, ensuring data integrity and eliminating duplicates. Manages database security, access permissions, and backups. Develops and generates customized reports, queries, and dashboards for fundraising, donor engagement, and campaign analysis. Works closely with the Gift Processor to ensure constituent records are accurately maintained, donations and pledges are correctly entered, batches are posted, and acknowledgment letters and pledge reminders are sent timely. Ensures accurate entry and tracking of donations, pledges, and grants. Works closely with the finance team to reconcile donations and generate financial reports. Manages automated and personalized donor acknowledgments and tax receipts. Maintains and monitors “Do Not Mail, Do Not Solicit” lists to keep donor preferences up to date for all mailings. Collaborates with Foundation staff to create or utilize existing reports in Raiser’s Edge to identify trends and for comparison with other databases. Performs routine data‑health management activities and maintains the integrity of donor records by working closely with staff to ensure demographic and gift transactions are recorded accurately and timely. Provides operational support for special events, cultivation events, and Foundation programs, including the Hospital Ball. Ensures the Foundation’s website is operational and processes online gifts in Raiser’s Edge. Responds to or forwards all emails received through the Foundation’s website. Produces monthly reconciliation reports with accounting and adjusts donor records as needed. Prioritizes projects to deliver information within agreed timeframes and meet deadlines. Maintains the highest standards of confidentiality of donor and patient information. Keeps abreast of best practices and trends in donor‑base management. Maintains up‑to‑date knowledge of the NCH Healthcare System. Other duties may be assigned. Education, Experience, and Qualifications

Minimum of a bachelor’s degree in healthcare, Information Management, Business, or a related field. Minimum of 3 years of experience in a not‑for‑profit organization or healthcare environment. Previous use or familiarity with donor databases; prior experience with Raiser’s Edge preferred. Strong communication skills, both written and verbal. Advanced computer skills, including proficiency with Word and Excel. Good analytical and problem‑solving skills. Self‑motivated with strong organizational and time‑management skills. Intermediate computer knowledge: Microsoft Word, Excel, Outlook, and Windows. Seniority Level
