The Department of Physics and Astronomy in the School of Physical Sciences at UCI is recruiting an Undergraduate Program Coordinator. This position, in consultation with department management, uses professional concepts in drafting department schedule for courses, seminars, and special events, taking into consideration faculty leaves, preferences, and faculty course load, classroom availability, and enrollment figures. The incumbent will review the schedule of classes to ensure it meets the needs of students for degree progression, independently obtain classrooms for courses taking into account the requirements and restrictions of the Campus Scheduling Office, work with undergraduate students on enrollment matters, oversee the department’s student affairs front desk including staffing and scheduling of undergraduate student workers, and assist with department events, seminars, and special events as needed, as well as assist with website and social media maintenance. Essential Functions

Draft schedule of courses to be offered each term based on a provided course listing, enrollment trends, and faculty availability. Set enrollment limits, seat reservations, and other course restrictions. Work with other departments to set up cross‑listed and room‑shared courses. Independently obtain classrooms for courses taking into account requirements and restrictions of the Campus Scheduling Office. Provide information to faculty and visiting instructors about scheduling procedures and enrollment needs. Prepare and submit course approval forms to the Committee on Courses of the Academic Senate. Advise undergraduate students on enrollment matters and provide department management with data and statistics on enrollment trends. Manage student enrollment for efficient use of classroom space and resources, ensuring students are enrolled based on established priorities. Administer, coordinate, analyze, and report on quarterly evaluations. Knowledge, Skills, and Abilities

Knowledge of common University‑specific computer application programs. Knowledge of department, organization, and University policies, procedures, and directives (preferred). Knowledge of department and school / college general and major course requirements (preferred). Interpersonal skills to work with department senior management, faculty, and students. Ability in problem identification, reasoning, and analysis to identify trends. Ability to find solutions to conflicting situations. Total Rewards
