Assistant Manager: Tradeshow and Events (Irving, TX) Fotona, a globally recognized leader in laser technology, is seeking a motivated and detail-oriented Assistant Manager of Tradeshows and Events to join our dynamic team. This role is responsible for assisting in the planning, coordination, and execution of tradeshows, conferences, and events that elevate our brand presence and drive engagement.

Key Responsibilities

Support the development and execution of tradeshows, regional meetings, workshops, and event strategies aligned with business objectives.

Coordinate logistics for over 100 events a year, including venue selection, shipment tracking, equipment, and travel arrangements.

Act as primary point of contact for speakers and presenters, manage outreach and communication.

Negotiate contracts with external partners and service providers to ensure quality and adherence to budget.

Oversee onsite set‑up and tear‑down for select events, troubleshoot issues, and ensure smooth attendee experience.

Develop contingency plans for scheduling conflicts or last‑minute cancellations.

Track event metrics in CRM and analyze post‑event data to provide actionable insights.

Manage event budgets and identify cost‑saving opportunities.

Collaborate with marketing and sales teams to align event goals and produce promotional materials.

Manage pre‑event, during‑event, and post‑event communications.

Assist in hiring, training, and mentoring Tradeshow and Event Specialist roles.

Monitor progress and ensure team members meet deadlines and deliverables.

Skills and Abilities

Strong interpersonal skills across diverse groups.

Proficiency with event management software (Cvent, Eventbrite), Salesforce CRM, marketing automation, Google Workspace, Smartsheets.

Office suite skills.

Requirements

Travel domestically within the US; onsite support at 5‑10 weekend events per year.

Willingness to work flexible hours, including evenings and weekends.

Physical ability to lift and carry up to 50 lbs and handle heavy equipment occasionally.

Ability to stand, push/pull, bend, squat, stretch, reach, twist, walk, and work at a computer for extended periods.

Education and Experience

Bachelor’s degree in marketing, event management, communications, or related field.

2‑4 years of experience in tradeshow or event planning, preferably in a corporate or agency environment.

Proven success in developing marketing plans and campaigns.

Excellent written and verbal communication skills.

Strong project management, multitasking, and decision‑making skills.

Metrics‑driven marketing mindset with creativity.

Experience with marketing automation, CRM tools, and digital, email, offline, and social channels.
