Role Description This is a full-time, on-site position based in Riverside, CA, reporting directly to the CEO. The Executive Assistant will function as the CEO’s right hand—combining executive support, office management, and operational coordination. You’ll help manage schedules, communications, reports, vendors, and internal workflows, ensuring that daily operations run smoothly. This role is ideal for someone tech‑savvy, organized, and ambitious—a future operations leader who wants to build a long‑term career in construction management and business administration.

Key Responsibilities

Manage the CEO’s calendar, communications, and meeting coordination

Draft and organize correspondence, reports, and documentation

Oversee daily office operations, vendor coordination, and supply management

Track priorities, deadlines, and deliverables across multiple departments

Support project administration—bids, compliance submissions, and field coordination

Prepare and verify invoices, expense reports, and supporting records

Maintain digital file systems and ensure organized documentation flow

Serve as a liaison between the CEO, staff, clients, and vendors

Handle sensitive information with confidentiality and discretion

Continuously improve administrative systems and operational efficiency

Qualifications

3+ years of executive or administrative support experience (construction or operations preferred)

Advanced proficiency in Microsoft 365 (Outlook, Excel, Word, Teams) and other office technology

Strong written and verbal communication skills

Highly organized with the ability to manage multiple priorities

Confident, proactive, and resourceful with strong problem‑solving skills

Comfortable handling confidential information and representing executive leadership

Experience with QuickBooks or similar accounting systems a plus

Driven to learn, take ownership, and grow into broader operational responsibilities
