Description: Headlands Coastal Lodge and Spa is a luxury retreat catering to adventure-seekers and the active Pacific NW lifestyle. Our 33-room hotel offers a breathtaking view of the ocean, Haystack Rock, and Cape Kiwanda. Pacific City is off the beaten path on a relatively undiscovered stretch of the Oregon Coast. Cape Kiwanda, in Pacific City, offers a storied connection to the ocean, local rivers, beachfront and outdoor recreation. Surfing, kayaking, hiking, photography, beachcombing, and fishing are among the activities in this beach town.

A day in the life: Hospitality professional who delivers an extraordinary coastal experience to owners and guests at The Cottages at Cape Kiwanda. The ideal candidate will connect with each of the 200+ owners, learn their preferences and expectations, and, in partnership with the Headlands general manager, make purchases within the annual budget to ensure the Cottages meet Headlands standards.
Responsibilities
Keep owners engaged in benefits and communications.
Maintain the rental management program to meet owner and company goals.
Provide concierge services for owners when requested.
Keep accurate records, including rental management agreements, choice weeks, owner contact information, owner preferences, trade requests and regular correspondence.
Process owner trade requests.
Administer the annual choice week selection process in compliance with By-laws.
Plan and coordinate weekly complimentary activities for the owners group.
Maintain inventory items essential to providing services to owners and guests.
Coordinate and maintain records for the annual budget and board meetings to meet By-laws.
Maintain the cottage reserve schedule and coordinate projects as needed.
Administer the Kiwanda Standard, cottage HOA rules and by-laws.
Manage HOA dues billing and collection process.
Build relationships with real estate partners to ensure access to cottages for showings and ownership changes.
Collaborate with all departments to customize individual owner experiences.
Qualifications
Must be able to work Saturday and Sunday.
Must be at least 18 years old.
Minimum of 2 years HOA management or relevant experience (e.g., Guest Relations, Office Administration).
Ability to handle a variety of guest service situations and multi-task in a fast-paced environment.
Ability to work well under pressure and as part of a team.
Valid CPR and First Aid Certification.
Valid Food Handler's Card.
