Position Summary: The

Accounts Payable Specialist

is responsible for the timely and accurate processing of vendor invoices and payments. This role serves as a liaison between vendors and internal departments to ensure all payables activities are handled efficiently, accurately, and in compliance with company policies and procedures.

Key Responsibilities Enter and process invoices accurately and on time in accordance with vendor payment terms. Perform three-way match of invoices, receiving paperwork, and purchase orders. Process non-PO invoices by verifying documentation, G/L coding, and approvals per the delegation of authority matrix. Maintain organized accounting records, filing, and indexing invoices appropriately. Reconcile vendor statements and resolve discrepancies or payment issues. Support negotiations and management of COD/prepaid vendors. Prepare documentation for wire transfers and assist with ACH vendor conversions. Process monthly consignment payments and intercompany payables. Support month-end AP accruals and clearing account reconciliations. Respond promptly to vendor and internal AP-related inquiries. Review and process employee expense reports in Concur (or other T&E systems). Reconcile departmental P-card expense reports and approve office supply orders. Support audit requests and provide necessary documentation. Collaborate cross-functionally with Accounting, Finance, and Operations teams. Perform additional duties as assigned by the Financial Operations Manager or Controller. Qualifications

Required:

High School Diploma or equivalent. 4+ years of relevant experience in accounts payable or a similar accounting role. Strong attention to detail and accuracy. Ability to work effectively in a fast-paced, high-volume environment. Strong organizational, problem-solving, and communication skills. Proficient in Microsoft Excel and basic accounting principles. Self-motivated with a proactive, team-oriented mindset. Ability to prioritize tasks and meet tight deadlines. Preferred:

Associate's or Bachelor's degree in Accounting, Finance, or Business Administration. Experience with automation tools, Quantum, and Concur. Additional Details

Location:

Glendale, AZ - Onsite only (no hybrid or remote options). Travel:

Occasional, with advance notice. Work Environment:

Primarily office-based, with occasional exposure to warehouse and aviation repair shop environments. Physical Requirements: Regularly sits for extended periods using office equipment and computers. Occasionally lifts up to 30 lbs. Flexibility to work non-standard hours during month-end or other critical deadlines.

Language:

Must be able to read, write, and communicate effectively in English.
