Overview
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide direct support to two senior leaders within a dynamic, small and fast-paced organization. This role requires exceptional multitasking skills, strong attention to detail, and the ability to manage a wide variety of responsibilities with professionalism and discretion.
The ideal candidate thrives in a small team environment, wears multiple hats comfortably, and can anticipate the needs of executives while maintaining operational efficiency and alignment across priorities.
Key Responsibilities
Executive Support
- Manage complex calendars, schedule meetings, and coordinate logistics for two executives.
- Serve as the first point of contact, managing communications and prioritizing requests.
- Draft and prepare correspondence, presentations, and reports with accuracy and professionalism.
- Anticipate executive needs and proactively manage follow-up items and next steps.
Operations & Administration
- Coordinate internal and external meetings and client meetings.
- Assist with project coordination, ensuring timelines and deliverables stay on track.
- Support travel arrangements and manage related expenses and reimbursements.
- Maintain electronic and physical filing systems, ensuring organization and confidentiality.
Team & Office Support
- Provide general support to the small Atlanta-based team, helping streamline operations.
- Manage office supplies, vendor relationships, and day-to-day logistics as needed.
- Help onboard new team members, ensuring they have the tools and access needed to succeed.
Communication & Relationship Management
- Communicate professionally and effectively on behalf of executives with internal and external partners.
- Build strong working relationships across departments and external stakeholders.
- Ensure alignment across teams through clear documentation and timely updates.
Qualifications
- Minimum 4 years of experience as an Executive Assistant.
- Experience working in a small, fast-paced organization or start-up environment.
- Strong organizational, project management, and problem-solving skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite, Google Workspace, and virtual collaboration tools (Zoom, Slack, Asana, etc.).
- Ability to exercise discretion with sensitive information and maintain confidentiality.
- Strong judgment, adaptability, and a “no task too small” mindset.
