Position Summary The Accounts Payable Lead reports directly to the Controller and is responsible for managing the daily operations of the company's accounts payable function. This position ensures that all vendor invoices, employee reimbursements, and disbursements are processed accurately, timely, and in accordance with GAAP and company policies. The AP Lead oversees staff performance, maintains strong internal controls, partners closely with Procurement and Operations, and drives process improvements that enhance efficiency and financial accuracy.

Essential Duties And Responsibilities

Lead the full‑cycle Accounts Payable process, including invoice intake, coding, approvals, and payments (checks, ACH, wires, and corporate cards).

Supervise and mentor AP Specialists, setting clear priorities and monitoring workload to ensure accuracy and timeliness.

Maintain vendor master data, ensuring W‑9/W‑8 collection, TIN validation, accurate banking details, and proper vendor classification.

Oversee the 1099 year‑end reporting process to ensure accurate and timely filing.

Prepare and review weekly payment proposals and coordinate with the Controller and CFO for disbursement approvals.

Manage AP month‑end close activities, including accruals, reconciliations, variance analysis, and subledger tie‑outs to the general ledger.

Review vendor aging reports, resolve open items, debit balances, and unapplied credits in a timely manner.

Partner with Procurement and Operations to improve PO, receiving, and invoice approval workflows.

Implement and maintain AP automation tools and ERP integrations (Vista/Viewpoint).

Identify and drive continuous improvement initiatives to increase efficiency and accuracy across the Procure‑to‑Pay process.

Required Qualifications

Bachelor's degree in Accounting, Finance, or a related field preferred.

Minimum 5 years of progressive Accounts Payable experience, including 2+ years in a leadership or supervisory capacity.

Experience with ERP systems Vista/Viewpoint.

Construction, field operations, or project‑driven industry experience preferred.

Proficiency in Microsoft Excel.

Job Type Full‑time

Pay $60,000.00 - $65,000.00 per year

Schedule 8 hour shift, Monday to Friday
