ABOUT THIS POSITION
As the Tenant Services Coordinator, you are the first point of contact for tenants, greeting visitors, and routing phone calls. You’ll assist the Property Management team with tenant relations, including handling work order processing, billing inquiries, policy questions, and event planning. This role also provides essential administrative support to the Property Management team, helping with general office duties like filing, mail processing, and document preparation.
Essential Functions include but are not limited to:
Enter and track work orders and purchase orders from tenant requests and daily security and janitorial logs. Coordinate service partners such as janitorial and parking. Process invoices for accounts payable by coding, dating, obtaining appropriate signatures and sending to accounting. Compile tenant billbacks for utilities, services, labor, or materials and submit to accounting. Serves as contact for tenants regarding billing and policy questions. Arrange special events and/or special tickets for tenants. Coordinate tenant move-in and move-out. Maintain current tenant list, emergency contact list, elevator maintenance and entrapment log, vendor, contractor and tenant insurance certificates, tenant leases and general correspondence. Prepare tenant memos as needed. Maintain building keycard and access software, issue keycards. Perform general administrative office duties, including ordering office supplies, maintaining office equipment, setting up and maintaining filing systems, distributing mail and preparation of outgoing correspondence. Greets and directs visitors, screens and routes telephone calls. Schedule conference rooms and meeting set up for building tenants. ABOUT YOU

SKILLS
Strong written communication skills to independently draft general correspondence. Proficiency in Microsoft Word and Excel, and the ability to learn new software. Highly organized with the ability to multitask, managing competing priorities. Excellent customer service skills with the ability to communicate clearly and effectively with tenants and the public. Ability to analyze and organize administrative details, such as scheduling and report preparation. QUALIFICATIONS
High School Diploma. 1-2 years’ experience in a customer service environment. 1-2 years’ administrative experience.

This position is in a standard office environment with desktop business equipment and frequent telephone calls. Noise level is moderate. Frequent interruptions are common, while under deadlines and time constraints.
