POSITION OVERVIEW:

The Accounts Payable clerk reports to the Director of Finance. Responsible for full cycle accounts payable process and monitoring the outflow of capital for the company.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Ensures that all invoices are entered accurately into company database, processed based on purchase order number and classified correctly by job and code types.

Prepares AP invoice aging for management review; completes a weekly check run based on approvals received.

Reconcile credit card statements and updates credit card report weekly.

Receives and verify expense reports; reconcile expense and other financial reports with account balances and other office records.

Manage new vendors and facilitate payment of vendors, which may include verification of federal ID numbers, review purchase orders, and resolve discrepancies.

Ensures outstanding obligations are credited upon payment.

Assists with accounting records and ledgers by reconciling monthly statements and transactions.

Ensure timely vehicle registration payments and manage pest control and business license renewals.

Assist with other administrative functions.

Perform other tasks as assigned.

QUALIFICATIONS:

High school diploma required; Business or Accounting degree preferred but not mandatory.

3-5 years (or more) experience working in Accounts Payable processing.

Strong understanding of cost codes and general ledger code accounting principles.

Experience managing a steady volume of incoming invoices.

Must be proficient in Microsoft Office Suite and related programs.

Must be reliable and extremely trustworthy.

Excellent organizational skills and attention to detail.

Ability to maintain confidential and meticulous records.

Experience in AP Acumatica and pVault/Paperless preferred

ADDITIONAL REQUIREMENTS:

Demonstrate excellent time management skills.

Variable availability – Candidates must be flexible and able to work variable hours to accommodate changing business needs. Business hours are Monday to Friday between 7:30 AM to 4:30 PM.

Ability to multitask and assist different departments.

Ability to communicate complex ideas effectively, both orally, and in writing.

Clerical and general office experience.

Able to lift up to 35 lbs.
