As our Executive Assistant, you will be responsible for:

Word processing and spreadsheet requirements for Board members, Senior Management Team, and President/CEO. Handle major document preparation projects, coordinating, photocopying, collating, and distributing for these groups.

Preparing monthly Board reports and coordinating distribution and receipt of materials by Board members.

Maintaining the master records of corporate documents, Corporate Policy Manual, Board Committee and Board materials. Processing and filing confidential reports, records, and documents.

Updating, duplicating, and distributing the ACU Corporate Policy Manual, Bylaws, Rules and Regulations, ASI letters, and other materials as required to appropriate staff, auditors, and Board members.

Screening the President/CEO's incoming phone calls, arranging appointments, and prioritizing and organizing daily mail. Conducting courtesy reminder calls or e‑mails to individual Directors to remind them of scheduled meetings.

Calling out‑of‑town directors to schedule attendance at committee and Board meetings and supplying them with needed materials.

Tracking education seminars for the Board and assisting the Board Education and Development Committee as needed.

Scheduling board conference rooms for monthly and special Board and Committee meetings. Attending Board and Committee meetings and drafting meeting minutes to be reviewed by the appropriate Committee Chair and President/CEO prior to distribution.

Writing meeting minutes for senior management meetings as needed prior to approval by meeting attendees.

Handling all arrangements for CEO and Directors regarding official travel, including registration, hotel, flight, and car rental arrangements. Staying current with travel reimbursement policies and ensuring reimbursements are made as authorized.

Managing signature updates for all banks, brokers, other financial institutions, and Illinois Department of Financial & Professional Regulation (IDFPR) as needed. Handling bylaw changes and other approvals from the IDFPR.

Working as a liaison with the Nominating Committee on meetings, advertising, promotion, and mailings in conjunction with the election of directors.

Organizing the annual meeting of members, including hall rental and set‑up, meals, annual meeting reports, and working with the marketing department on door prizes.

Updating the Strategic Business Plan and keeping a history of updates.

Requirements

High school graduate.

Minimum three years of secretarial or administrative experience.

Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), including the ability to create documents, presentations, and spreadsheets from templates or scratch, and schedule using Outlook.

Excellent oral and written communication skills.

Strong, positive interpersonal skills with the ability to maintain strict confidentiality.

Able to work well independently.

Experience supporting C‑Level Executives highly preferred.

Secretarial or administrative experience in a financial institution environment preferred.
