We are seeking a detail‑oriented

Construction Operations Coordinator

to support the full lifecycle of construction projects for our commercial real estate portfolio. This role will coordinate with multiple departments, including Development, Tenant Coordination, Building Improvements, Property Management, Accounting, Legal, and Investments, to ensure capital expenditures are processed accurately, efficiently, and in compliance with company policies. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities in a fast‑paced environment.

Job Duties:

Serve as the primary contact for processing and coordinating contracts, change orders, invoices, and project closeout documents for construction projects.

Prepare and oversee execution of design and construction agreements, including review of proposals, contract forms, insurance certificates, W-9s, and coordinating legal and risk management approvals.

Review and process construction‑related invoices, change orders, and closeout documentation prior to release of final retention payments and tenant allowances.

Maintain project files and electronic records, utilizing project management software to ensure accurate documentation.

Provide administrative and secretarial support to senior development leadership as needed.

Perform other duties related to capital expenditures administration as assigned.

Job Requirements:

Associate degree or higher, with at least 3 years of administrative experience in real estate, construction, or related fields; or equivalent combination of education and experience.

Proficient in Microsoft Office Suite (Outlook, Teams, Excel, Word, PowerPoint) and Adobe Acrobat; familiarity with YARDI, DocuSign, and BOX is a plus.

Strong verbal and written communication skills and excellent organizational abilities.

Ability to read, interpret, and apply contract terms.

Experience with accounting and willingness to learn job cost accounting.

Professional, positive, and collaborative attitude to maintain strong working relationships with vendors, co-workers, and management.
