We are seeking an organized, proactive Payroll Specialist with construction industry experience to join our team. This role is integral in ensuring timely and accurate payroll processing for both field and office employees, supporting compliance, and facilitating our transition from Sage to CMiC payroll software.
We’re looking for you to do the following: Payroll Processing Process weekly payroll for field and office staff, including union and non-union employees, ensuring accuracy in hours, deductions, benefits, and compliance with prevailing wage laws and certified payroll reporting requirements. Maintain payroll records and resolve discrepancies promptly. Develop and maintain relationships with foremen and project managers to resolve timecard issues and ensure accurate job costing.
Software Transition Support the transition from Sage to CMiC payroll software, including data migration, validation, and testing. Participate in training sessions and assist in developing new workflows and documentation for CMiC payroll processes. Collaborate with IT and accounting teams to ensure seamless integration and minimal disruption during the transition.
Compliance & Reporting Ensure compliance with federal, state, and local payroll regulations, including Davis-Bacon, union agreements, and certified payroll requirements. Prepare and submit required payroll reports (weekly, monthly, quarterly, and year-end), including W-2s, union reports, and workers’ compensation audits. Maintain audit-ready records for labor compliance and reporting.
Employee Support Handle employee inquiries related to payroll and time-off with professionalism and confidentiality. Provide training and support to employees and managers on new payroll processes and systems. Identify and implement process improvements to increase payroll accuracy, efficiency, and compliance. Stay current on industry best practices, software updates, and regulatory changes affecting construction payroll.
You Have: High school diploma or equivalent; associate or bachelor’s degree in business, accounting, or related field preferred. Minimum 3-5 years of payroll experience in the construction industry, including union payroll and certified payroll reporting. Spanish fluency is mandatory. Advanced Excel skills and familiarity with ERP systems (Sage, CMiC, etc.) a plus. Excellent attention to detail, problem-solving, and organizational skills. Ability to handle sensitive employee information with utmost confidentiality. Strong interpersonal and communication skills to interact with employees at all levels.
